Logistics Coordinator

Position Summary

The Logistics Coordinator will manage retailer purchase orders and coordinate shipment preparation, documentation, tracking, and fulfillment, with a primary focus on Walmart. The role will maintain accurate order records, support retailer compliance and claims resolution, and coordinate with production, shipping, warehouse, and operations teams. Following initial client-led training, the role will report to the Operations Manager and Director of Operations.

• Shift/Schedule: Monday to Friday, 8:00 AM - 5:00 PM U.S. Central Time | 9:00 PM - 6:00 AM Manila Time
• Holidays: Follow the client's holiday calendar, to be provided

Responsibilities:

• Manage the retail order desk by retrieving, reviewing, and processing retailer purchase orders (POs), including Walmart POs.
• Access retailer portals and EDI platforms, including Walmart Retail Link, to manage orders and maintain product information.
• Enter and update PO, shipment, and delivery details in Microsoft Excel, Google Sheets, and internal order-management records.
• Set up shipments in Walmart's transportation system, review assigned shipment information, and create and maintain shipment tickets.
• Prepare Bills of Lading (BOLs), retailer-compliant shipping and pallet labels, ASN labels/stickers, and other required shipping documentation.
• Upload complete shipment documentation to Google Drive and email the production team with the files needed for printing and shipment preparation.
• Check that products and shipments meet retailer-specific labeling, pallet, ASN, routing, and compliance requirements.
• Coordinate retailer routing requirements and communicate appointment information to the internal team. This role does not directly schedule appointments; appointment decisions and approvals remain with the internal team.
• Track shipment and delivery status, obtain Proofs of Delivery (PODs), and maintain accurate PO, shipment, BOL, and delivery records.
• Monitor retailer claims and discrepancies, research supporting shipment records, and file and process claims for shipments or products reported as missing or not received.
• Identify potential On-Time In-Full (OTIF) and retailer compliance issues and proactively communicate them to the appropriate internal teams.
• Check retailer inventory information and store-level product stock when required.
• Use Walmart Scintilla as the source of truth for U.S. supplier performance, including in-store sales and online pickup/delivery performance.
• Support reporting and analysis on retailer sales, inventory, fulfillment, and compliance using retailer reporting systems and internal records.
• Coordinate proactively with production, shipping, warehouse, and operations teams to resolve order issues and support timely fulfillment.

Qualifications:

• 2+ years of logistics coordination, retail order processing, or related experience.
• Ability to use Microsoft Excel and Google Sheets to maintain accurate purchase order, shipment, and delivery records.
• Good written and verbal communication skills for coordinating with client contacts and internal operations teams.
• Strong attention to detail and organizational skills when managing order information, shipping documents, and retailer records.
• Ability to investigate shipment discrepancies, follow up on missing information, and raise potential fulfillment or compliance issues promptly.
• Willingness and ability to learn retailer-specific systems and processes; training will be provided.
• Experience with Walmart systems, including Retail Link, Walmart transportation tools, and Scintilla, is a strong advantage but is not required.
• Familiarity with EDI platforms, retailer shipping documentation, and OTIF requirements is an advantage.
