About the Role

We are seeking a highly organized and technically proficient Interior Design Project Coordinator to support a high-end residential interior design firm. This full-time remote role is ideal for an experienced interior design professional who enjoys both the creative and operational sides of bringing a project to life.

You will help coordinate multiple active projects from concept through installation, serving as a key point of communication among clients, the lead designer, technical drafter, vendors, trades, installers, and other project partners.

Exceptional written communication is essential. You must be able to communicate clearly, warmly, and professionally with high-end clients and industry partners while keeping projects organized and moving forward.

Key Responsibilities

Client Communication and Project Coordination

  • Serve as a primary point of contact for clients throughout the design and implementation process
  • Draft polished, professional client-facing emails and correspondence
  • Coordinate meetings, presentations, selections, approvals, installations, and other project activities
  • Maintain clear communication among clients, the design team, vendors, trades, and installers
  • Proactively communicate next steps, outstanding decisions, and potential issues
  • Help provide a seamless and organized client experience from project kickoff through completion

Project Management and Administration

  • Manage multiple residential design projects at different stages
  • Maintain project schedules, deadlines, task lists, and follow-ups
  • Track project details, approvals, orders, deliveries, and outstanding items
  • Coordinate project information with the technical drafter
  • Keep project documentation and digital files organized and current
  • Identify potential problems and follow up consistently to keep projects moving
  • Coordinate with trades, installers, workrooms, vendors, and other project partners

Vendor Communication and Procurement

  • Communicate professionally with vendors, showrooms, manufacturers, workrooms, and trade partners
  • Source furnishings, finishes, materials, and other products
  • Place and manage orders
  • Review quotes, specifications, acknowledgments, and invoices for accuracy
  • Track orders from placement through delivery and installation
  • Follow up on delayed, damaged, incorrect, or missing items
  • Coordinate delivery, receiving, warehousing, and installation logistics
  • Maintain accurate purchasing and order-status records

Design and Presentation Support

  • Assist with residential interior design concepts and selections
  • Create polished concept boards, mood boards, and client presentations
  • Prepare furniture, finish, material, and product selections
  • Research products that align with each project’s aesthetic, budget, and requirements
  • Collaborate with the design team to refine selections and presentations
  • Ensure presentation materials are accurate, cohesive, and professionally presented

Technical Coordination

  • Work with the technical drafter to ensure design intent and project information are accurately reflected in drawings
  • Review drawings and communicate revisions or missing information
  • Coordinate dimensions, specifications, and product details
  • AutoCAD experience is preferred but is not the primary focus of the role

Required Qualifications

  • Professional experience with a residential interior design firm
  • Understanding of the residential design process from concept through installation
  • Excellent written and verbal English communication
  • Experience communicating directly with clients, vendors, and industry partners
  • Knowledge of interior design materials, furnishings, finishes, and specifications
  • Experience sourcing products and materials
  • Experience with procurement, order management, and delivery tracking
  • Strong project-management and organizational abilities
  • Ability to manage multiple projects and competing priorities
  • High attention to detail and consistent follow-through
  • Ability to work independently, anticipate needs, and solve problems proactively
  • Strong technical proficiency and ability to learn multiple software platforms

Preferred Qualifications

  • High-end or luxury residential interior design experience
  • Experience managing projects through installation
  • Experience coordinating with technical drafters
  • Experience with Houzz Pro
  • AutoCAD experience
  • Familiarity with industry standards, trade resources, and vendor practices

The right candidate is proactive, accountable, and comfortable taking ownership. You can move from responding to a client, to following up on a delayed order, to reviewing information with a drafter, to preparing a design presentation without losing track of the larger project.

You enjoy checklists, schedules, systems, and follow-ups. You notice details others miss, communicate confidently, and understand the level of service expected in high-end residential design.
