AI Summary

The specialist will manage the HubSpot CRM, including building automations, landing pages, and email campaigns to nurture leads and book meetings. Additionally, they will provide executive support by managing the owner's inbox, calendar, and general administrative tasks.

We are looking for a tech-savvy HubSpot Specialist to work directly with the owner of an Australian property project marketing business that sells house and land packages on behalf of developers and builders, working fully remotely with real ownership of your work and room to grow as the business scales. This role owns the business's HubSpot CRM, building the automations, landing pages and email campaigns that generate and nurture leads from both buyers and referral partners, and booking qualified referral partner meetings into the owner's calendar.

Alongside the build work, you will provide day-to-day executive support, including inbox and calendar management. The ideal person is a HubSpot power user who is proactive, systems minded and confident using AI tools such as Claude to build faster and smarter.

Key Responsibilities

  • Own and manage the HubSpot CRM, keeping contacts, pipelines, properties and deal stages clean, organized and up to date.

  • Build and maintain HubSpot automations and workflows, including lead capture and routing, nurture sequences, follow-up reminders and pipeline updates.

  • Design and build landing pages, forms and email campaigns in HubSpot for house and land packages across multiple developers, aimed at both buyers (such as first home buyers and investors) and referral partners.

  • Use Claude and other AI tools to write copy, build and troubleshoot automations, and speed up campaign and admin work.

  • Research and build lists of potential referral partners, such as mortgage brokers, buyer's agents, financial planners, accountants and real estate agents.

  • Run outreach to referral partners via email, LinkedIn and other channels, and book qualified introductory meetings into the owner's calendar.

  • Manage the owner's inboxes and calendar across multiple developer email accounts, prioritizing, responding and flagging what needs his attention.

  • Provide general executive support, including ad hoc admin, document preparation, follow-ups and keeping the owner on top of his commitments.

  • Track lead flow, campaign performance and meetings booked, and proactively suggest improvements to systems and processes.

What We Are Looking For

  • At least 2 years of hands-on HubSpot experience, including building workflows, sequences, landing pages and forms.

  • Proven experience building marketing automations and lead nurture funnels, ideally for a sales-led business in property, real estate or financial services.

  • Confident user of Claude and other AI tools, with a genuine interest in using AI to automate and improve how the business runs.

  • Experience with outbound outreach and appointment setting via email and LinkedIn, plus the initiative to test new channels.

  • Previous executive or virtual assistant experience managing inboxes and calendars for a busy business owner.

  • Knowledge of the Australian property market, house and land packages or mortgage broking is highly regarded.

  • A bachelor’s degree is preferred.

  • Excellent written and spoken English.

  • Highly organized and detail focused, able to juggle competing priorities with minimal supervision.

  • Proactive and self-driven, bringing ideas and solutions rather than waiting to be told.

  • Demonstrated employment stability, with a preference for candidates who have remained with previous employers for approximately two years or more.

  • A genuine interest in establishing a long-term career within our business and growing alongside the team.

Requirements

  • Stable work-from-home setup (reliable internet, laptop or desktop, quiet workspace).

  • Available to work full-time during Australian business hours.

Benefits

  • Full-time, work-from-home role aligned to Australian business hours.

  • Direct engagement with the founder and a supportive, close-knit team.

  • Training and support provided.
