The Role
The HR/People Coordinator works as part of a global HR team and is responsible for a broad range of administrative duties across the entire employee lifecycle as well as providing coordination support of information flows of people processes, programs and systems. In this role, they are integral to maintaining data quality, ensuring the accuracy and integrity of data across HR systems and processes
HR Operations Support
Act as a super-user for People systems, such as Employment Hero, Culture Amp, and Greenhouse, supporting system adoption and troubleshooting issues.
Coordinate and manage onboarding and offboarding processes for employees, contractors, and temporary staff, ensuring employee files are set up and maintained in line with compliance requirements.
Manage the centralized PPH support inbox, responding to queries or escalating them to the appropriate PPH team members as required.
Prepare employment letters and other HR documents and correspondence.
Maintain and audit HR records, files, registers, databases, forms, and templates in line with document and naming conventions, ensuring data integrity at all times.
Monitor and track completion of activities, including compliance and probation reviews within the HRIS, and support cyclical People activities such as performance and salary reviews. Send reminders and follow up with employees to ensure timely completion.
Support leave management in line with company policy, including parental leave requests, monitoring and communicating excessive leave, and following up with managers on pending leave in the HRIS.
Ensure organizational charts are kept up to date in Lucidchart.
Support the completion of supplier questionnaires.
Provide information for monthly Town Hall presentations, ensuring new starters, birthdays, and anniversaries are included, and assist with creating content in Canva.
Administer and coordinate all people-related surveys, such as onboarding and exit surveys, managing the end-to-end process from setup and communication through response collection and reporting.
Maintain data integrity of the HR change report and update employee details in the HRIS, including Employment Hero and Culture Amp.
Conduct regular audits of employee records and compliance requirements.
Remuneration & Benefits Support
Raise POs and enter invoices for approval and payment in Derive relating to HR providers.
Create and send employee recognition gift cards for new starters, birthdays, and special events.
Manage the employee discount staff spend process.
Add new starters and remove leavers from YuLife and Vitality programs, ensuring employee data remains current and accurate.
Remove leavers from the ClassPass platform.
Talent, Learning & Diversity
Coordinate and manage employee variations and documents within the ATS, Greenhouse.
Maintain the ATS and onboarding platform, including the management of onboarding activities and the addition and removal of users.
Support the Talent Team by posting jobs across various channels and scheduling interviews.
Facilitate compliance checks, working rights checks, references, and background verifications in accordance with established processes.
Add new starters and remove leavers from the LMS, including Litmos.
Continuous Improvement
Support HR projects and organization-wide initiatives.
Contribute to workflow improvements and system enhancements, with a focus on improving data quality, consistency, and efficiency across People processes.
Comply with the Organization's Information Security Management System (ISMS), including all applicable information security policies, procedures, standards, and guidelines.

Skills & Experience
2–3 years’ experience in a generalist HR role, such as HR Administrator or HR Coordinator.
Proven team-oriented approach, with demonstrated ability to work collaboratively and coordinate information flows within the team and across other business areas.
Experience using databases and HR systems. Employment Hero/Greenhouse ATS experience is advantageous but not essential.
