The Opportunity:
The Clinic Solutions Administrative Assistant is responsible for providing administrative, operational and clerical support to the CS clinic partnerships, serving as an extension of our partner clinics. This role helps coordinate day-to-day activities, manages communications, maintains accurate records, and supports clinic onboarding and ongoing partnership initiatives. The Administrative Assistant acts as a reliable point of contact, ensuring seamless collaboration, timely follow-up, and an exceptional experience for both internal teams and clinic partners.
A Day in the Life (What you will do here):
- Order entry, data entry while working with email, fax and phone calls
- Handling email, phone, and fax correspondence with short turnaround times
- Processing and forwarding incoming and outgoing email, fax and phone
- Prepare and send out program letters and materials, work with the team on administrative duties
- Report any Adverse Events / Severe Adverse Events (AE / SAEs) following approved SOPs.
- Complete all relevant reports (timesheets, expenses, mileage, validate CRM reports, etc.) as per specified timelines and required standards.
- Maintain electronic and paper filing systems in accordance with company policies.
- Monitor shared inboxes and respond to or route inquiries appropriately.
- Assist with processing and tracking PSP enrollment forms and supporting documentation.
- Collaborate with cross-functional team to ensure timely patient access to therapy.
- Maintain program databases/ EMRs
- Track documentation related to biologic product access, approvals, and renewals.
- Assist with therapy coordination with pharmacy
- Assist in coordinating biologic therapy-related administrative activities
- Monitor patient case status and escalate outstanding items to the appropriate team members.
- Coordinate communication with healthcare providers, specialty pharmacies, infusion clinics, and PSP vendors.
- Additional duties as assigned by the manager.
What you need to ensure you are set up for success:
- Grade 12 education combined with two years of community college secretarial and/or equivalent work-related experience providing office administration services.
- Excellent verbal and written communication, listening, and customer service skills.
- Proactive and dynamic with the ability to integrate into a team environment and collaborate with others.
- Able to accurately input information into various paper and electronic forms, with attention to detail and accuracy being essential.
- Ability to learn quickly and adapt in multitasking, fast-paced, and changing environment.
- Strong organizational skills with the ability to handle changing priorities effortlessly.
- Proficiency in Microsoft Office suite, phone systems, and experience working with databases (i.e., ERP/CRM). Extensive computer and software skills.
- Self-directed individual who can work independently with minimal supervision.
- Previous experience adhering to strict confidentiality protocol for handling patient and customer data.
- Experience working with Patient Support Programs are considered assets.
- A minimum of 2 years’ experience in an office administrative position is required for this role.
