The Finance Administrator supports the financial integrity and operational effectiveness of disaster relief efforts by managing budgets, reporting, and compliance. This role also oversees core financial operations, including accounts payable, reconciliations, and grant management to ensure transparency and stewardship.
SUMMARY OF ROLE
The Finance Administrator (Finance & Reporting) supports the financial integrity, reporting accuracy, and operational effectiveness of Foursquare Disaster Relief. This role oversees key financial processes, reporting, compliance, and deployment support to ensure resources are managed with excellence, accountability, and transparency in disaster response environments.
ESSENTIAL RESPONSIBILITIES
Manage the FDR budget by tracking expenditures, reviewing approved allocations, and providing financial analysis, forecasting, and reporting to support leadership decision-making and long-term sustainability
Administer core financial operations, including accounts payable, expense documentation, distribution and verification of Ministry Partnership Agreements (MPA) and short-term fund requests, vendor and contractor onboarding, and related financial documentation
Perform reconciliations for accounts, field expenses, PEX cards, cash advances, and other financial records to ensure completeness, timeliness, and accuracy
Maintain and strengthen internal controls, documentation practices, and standard operating procedures that safeguard assets and promote accountability in both routine operations and disaster deployments
Ensure compliance with Foursquare policies, IRS requirements, and established financial procedures, and support audit processes as needed
Prepare and translate timely financial and operational reports to provide meaningful insights for leadership, including monthly, quarterly annual and incident-specific updates on revenue, expenditures, assets, restricted funds, and key response metrics
Analyze financial data, identifying trends and risks, program effectiveness, resource allocation and provide recommending actions that improve stewardship, effectiveness, and decision making
Provide financial analysis for forecasting response operations, recovery projects, and seasonal readiness
Develop and maintain executive dashboards, reporting tools and standardized templates that provide visibility into disaster response activities, project budgets, grant utilization, resource deployment, recovery efforts and key performance indicators (KPIs).
Identify, apply for, and support grant application development by assembling budgets, financial narratives, documentation, and organizational data in partnership with leadership
Track grant budgets, spending, deadlines, restrictions, deliverables, and closeout requirements to support compliant grant management from award setup through final reporting
Support donor gift-in-kind allocation and donor development by preparing reports, analyzing data, and maintaining accurate reporting through Salesforce and other internal systems
Track and report field deliverable metrics such as meals served, individuals assisted and supplies distributed
Participate in a rotating on-call schedule, including weekends, holidays, and vacation coverage, to support active disaster response operations
Collaborate across Foursquare Disaster Relief and One team to improve workflows, strengthen stewardship, and align reporting practices
Other duties and projects as assigned by the supervisory team leader

Minimum of 3+ years of experience in finance, accounting, financial operations, or reporting.
Bachelor's degree in finance, accounting, business, or a related field, or an equivalent combination of experience and training.
Strong knowledge of budgeting, reporting, compliance, internal controls, reconciliation, and financial analysis
Strong collaboration and interpersonal skills
Proficient with using Microsoft 365 (Outlook, Word, Excel) including collaboration applications (Teams, etc.)
Strong organizational, analytical, communication, and problem-solving skills, with the ability to manage multiple priorities and deadlines
High level of professionalism, integrity, confidentiality, and adaptability in fast-paced disaster response environments
Excellent verbal and written communication skills, clear communication
Commitment to servant leadership, collaboration, and the mission of Foursquare Disaster Relief
Ability to work remotely effectively both independently and as part of a team
Bilingual: ability to speak, listen, read, and write fluently in Spanish is preferred
Ability to travel as requested

Must have the ability to sit for extended periods of time; exhibit manual dexterity of fingers, hands and wrists; see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the phone; have the ability to understand and follow oral and written instructions; the physical agility to lift up to 25 pounds.
