The role focuses on managing day-to-day financial operations, specifically processing accounts payable and receivable. Responsibilities include handling vendor invoices, customer payments, lockbox processing, and ensuring compliance with GAAP.
We are seeking a detail-oriented Finance Assistant to support our accounting team with day-to-day financial operations. This role focuses primarily on Accounts Payable (AP) and Accounts Receivable (AR) data entry. The ideal candidate is organized, reliable, and comfortable working with financial data in a fast-paced environment.
RESPONSIBILITIES:
Accounts Payable (AP):
- Review and process all vendor invoices accurately and in a timely manner
- Match purchase orders, invoices, and receipts
- Prepare and execute payment runs (checks, ACH, wire transfers)
- Maintain vendor records and respond to vendor inquiries
Accounts Receivable (AR):
- Generate and issue customer invoices
- Monitor incoming payments and follow up on outstanding balances
- Apply payments to customer accounts and reconcile discrepancies
- Assist with collections as needed
Lockbox Processing:
- Retrieve and process daily lockbox payments
- Post customer payments in the accounting system
- Reconcile lockbox reports with internal records
Data Entry & Record Keeping:
- Enter financial data into accounting systems with high accuracy
- Maintain organized and up-to-date financial records
- Prepare month end close AP and AR schedules.
- Monitor finance inbox and respond to vendor and employee inquiries in a timely manner.
- Reviews, records, and reports financial transactions in accordance with established accounting principles (Generally Accepted Accounting Principles - GAAP), policies, and objectives.
- Monitor policies, procedures and controls relating to finance roles and functions.
- Identify and suggest improvements and efficiencies to finance processes.
- Ensure compliance with federal and state reporting requirements.
- Assist Finance Manager as needed.
EDUCATION, KNOWLEDGE, AND SKILLS:
- Associate’s degree in accounting, finance, or related field (preferred)
- Experience with Intacct/Sage, Stripe, Ramp, and iMIS (preferred)
- 1–3 years of experience in AP/AR or general accounting
- Strong analytical, planning, and organizational skills
- Working knowledge of Generally Accepted Accounting Principles
- Self-starter with the ability to work independently and manage priorities in a remote environment
- Highly organized with strong accountability and follow-through
- Ability to handle sensitive financial information confidentially
This is a part-time position with a 20-25-hour work week. Core operating hours are Monday through Friday, 9:00 AM to 3:00 PM Eastern Time, with flexible scheduling possible based on geographic location. ACTFL maintains a fully remote workforce, with the option of working at our headquarters location in Alexandria, Virginia. Hiring preference will be given to applicants residing in the DMV area.
