Qualifications: General Position Summary
The Field Service & Fleet Administrator provides administrative, scheduling, reporting, fleet, inventory, and systems support to the North American Field Service and Fleet Manager and the North American direct field service organization. The role is responsible for the transactional and coordination activities that keep technician operations, fleet assets, work orders, purchasing, expenses, and field-service records organized, accurate, and current.
This position serves as a central administrative connection between Field Service, Fleet, Customer Experience, Service Operations, Finance, Purchasing, Human Resources, and other support functions. By maintaining accurate data, coordinating routine operational activity, and providing timely reporting and follow-up, the administrator enables field leadership to focus on technician performance, regional coverage, customer escalations, safety, and strategic growth.

Specific Job Requirements
Support technician scheduling, route and coverage coordination, PTO visibility, training schedules, and administrative follow-up while escalating capacity or coverage risks to the North American Field Service and Fleet Manager.
Maintain accurate technician, vehicle, work-order, asset, and operational records in Salesforce, Field Service applications, spreadsheets, and other company systems.
Coordinate vehicle registrations, renewals, preventive maintenance, repairs, inspections, accident documentation, roadside support, and vendor follow-up.
Track fleet readiness, maintenance status, mileage, fuel usage, vehicle assignments, operating costs, and required documentation; identify overdue or incomplete items for leadership action.
Support fleet acquisitions, vehicle transfers, replacements, disposals, and onboarding/offboarding activities by coordinating documentation, vendors, equipment, and internal stakeholders.
Assist with technician tools, van inventory, parts, mobile assets, and assigned equipment records, including reconciliation and follow-up on discrepancies.
Prepare recurring field-service and fleet KPI reports, including technician utilization, productivity, schedule adherence, overtime, drive time, time to service, work-order aging, completion time, and related operational metrics.
Audit Salesforce / Field Service records for documentation completeness, work-order status accuracy, labor and travel entries, closeout quality, and other required data.
Coordinate purchase requests, purchase orders, invoices, P-card documentation, expense reports, vendor paperwork, and approvals in accordance with company policy.
Maintain organized electronic records for fleet, technicians, vendors, insurance, registrations, maintenance, safety, expenses, and operational reporting.
Support new-hire technician onboarding and employee offboarding by coordinating vehicle, tools, inventory, system access, equipment, documentation, and administrative checklists.
Assist with field-service system testing, data cleanup, reporting enhancements, and user-adoption activities as directed.
Communicate professionally with technicians, vendors, customers, and internal departments; track open action items through completion and escalate issues when management attention is required.
Handle sensitive employee, fleet, financial, and operational information with appropriate confidentiality and discretion.
Education and Experience Requirements
Associate degree in business administration, operations, logistics, fleet management, or a related field preferred; equivalent relevant experience may be considered.
Two to four years of administrative, field-service coordination, fleet administration, service operations, logistics, or related experience preferred.
Experience supporting a geographically dispersed field workforce, service organization, or vehicle fleet strongly preferred.
Experience coordinating vehicle maintenance, registrations, vendors, purchasing, expenses, inventory, or service assets preferred.
Strong proficiency with Microsoft Excel, Word, Outlook, PowerPoint, and reporting tools.
Experience with Salesforce and Field Service applications preferred.
Demonstrated ability to manage multiple priorities, maintain detailed records, meet deadlines, and follow through on open items with limited supervision.
Strong written and verbal communication skills and the ability to work effectively with technicians, managers, vendors, and cross-functional teams.
Valid driver's license and ability to meet company driving requirements when travel or vehicle support requires driving.

Travel and Working Conditions
This position is primarily office- or remote-based and is expected to support a geographically dispersed North American field organization. Limited travel may be required for team meetings, fleet activities, training, field events, or operational support. Work may occasionally require irregular hours to support technicians, vehicle incidents, urgent operational needs, or time-zone coverage.
Regular use of a computer, telephone, video conferencing, and business systems.
Occasional walking, standing, bending, reaching, and handling of technician tools, vehicle supplies, or other operational materials.
Occasional lifting and carrying of items weighing up to 25 pounds.
