About the Role:

We are seeking an exceptionally sharp, organized, and proactive hybrid Executive Assistant / Project Manager to serve as the operational right hand to the firm's Principal.

This is not a traditional administrative or data-entry virtual assistant role. We need a dynamic operational partner who can take ownership of workflows, bring structure to complex campaigns, and anticipate business needs before they arise. You will act as a force multiplier—managing deadlines across multiple high-profile projects, creating institutional systems, and applying strong critical thinking so projects move forward seamlessly without constant supervision.

Prior PR industry experience is not required. We value raw intelligence, sound judgment, project ownership, flawless communication, and an ability to leverage modern tools like AI to solve problems independently.

Key Responsibilities

• Project & Campaign Management: Track, structure, and drive multiple moving deliverables for high-stakes PR and entertainment awards campaigns (Emmys, Oscars) from start to finish.
• Proactive Executive Support: Manage the Principal’s schedule, priorities, and action items. Anticipate upcoming deadlines, clear operational bottlenecks, and keep client deliverables on track.
• Operations & Playbook Creation: Document recurring processes and build a centralized Operations Playbook (SOPs) to ensure institutional knowledge stays within the firm.
• Resourceful Problem Solving: Utilize AI tools (specifically Claude) as a thinking partner to research challenges, draft solutions, and resolve issues independently before bringing them to leadership.
• Client & Stakeholder Communication: Maintain professional, high-touch written and verbal communication aligned with the standard expected by major entertainment brands.

Qualifications & Skills

• High-Level Ownership: Proven ability to manage complex projects, establish structure, and operate autonomously without needing line-by-line direction.
• Proactive Mindset: You naturally look ahead, spot potential issues early, and bring answers to the table rather than just questions.
• Tech & AI Literacy: Highly comfortable using AI (particularly Claude) to optimize workflows, research information, and draft high-quality operational outputs.
• Flawless Communication: Exceptional written and spoken English, suitable for interfacing with top-tier entertainment executives and clients.
