Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the Founder. This role is critical to ensuring the smooth execution of daily operations, managing high-level priorities, and enabling the Founder to focus on strategic initiatives.

Key Responsibilities:
Executive Support & Coordination
- Serve as the primary point of contact between the Founder and internal/external stakeholders
- Manage complex calendars, including scheduling meetings, calls, travel, and appearances
- Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the Founder
- Prepare agendas, briefing materials, and follow-ups for meetings
- Ensure the Founder is fully prepared for all meetings and key commitments
Administrative & Office Management
- Draft, proofread, and format legal and business documents
- Prepare reports, presentations, and executive summaries
- Maintain organized documentation and filing systems
- Assist with developing, updating, and implementing SOPs
- Support day-to-day operational efficiency across departments
Client & Case Management Support
- Coordinate meetings between attorneys, clients, and external parties
- Handle confidential and sensitive case-related information with discretion
- Ensure accurate documentation of client communications
Project & Event Management
- Coordinate firm-wide events, workshops, and networking engagements
- Manage logistics for travel, meetings, and internal activities
- Support outreach and marketing initiatives (contact lists, coordination, follow-ups)
Technology & Process Optimization
- Utilize legal and business software (e.g., Filevine, CRM tools) to improve workflow
- Support implementation of systems, tools, and process improvements
- Maintain and optimize digital organization and workflows
Requirements
- 2+ years of experience as an Executive Assistant or in a similar high-level administrative role
- Experience supporting C-level executives or founders preferred
- Strong organizational and time-management skills with the ability to multitask
- Excellent written and verbal communication skills
- High level of discretion and confidentiality
- Proficiency in Microsoft Office, Google Workspace, and CRM/tools
- Ability to work in a fast-paced, dynamic environment
Preferred Qualifications
- Experience in a law firm or professional services environment
- Familiarity with legal processes (intake, case management, documentation)
- Project management or operations experience
- Bilingual is a plus (English/Arabic or English/Spanish)
Salary rate: $6 USD per hour, depending on experience, for a 40-hour workweek.
