Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the Founder. This role is critical to ensuring the smooth execution of daily operations, managing high-level priorities, and enabling the Founder to focus on strategic initiatives.

Key Responsibilities:

Executive Support & Coordination

  • Serve as the primary point of contact between the Founder and internal/external stakeholders
  • Manage complex calendars, including scheduling meetings, calls, travel, and appearances
  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the Founder
  • Prepare agendas, briefing materials, and follow-ups for meetings
  • Ensure the Founder is fully prepared for all meetings and key commitments

Administrative & Office Management

  • Draft, proofread, and format legal and business documents
  • Prepare reports, presentations, and executive summaries
  • Maintain organized documentation and filing systems
  • Assist with developing, updating, and implementing SOPs
  • Support day-to-day operational efficiency across departments

Client & Case Management Support

  • Coordinate meetings between attorneys, clients, and external parties
  • Handle confidential and sensitive case-related information with discretion
  • Ensure accurate documentation of client communications

Project & Event Management

  • Coordinate firm-wide events, workshops, and networking engagements
  • Manage logistics for travel, meetings, and internal activities
  • Support outreach and marketing initiatives (contact lists, coordination, follow-ups)

Technology & Process Optimization

  • Utilize legal and business software (e.g., Filevine, CRM tools) to improve workflow
  • Support implementation of systems, tools, and process improvements
  • Maintain and optimize digital organization and workflows

Requirements

  • 2+ years of experience as an Executive Assistant or in a similar high-level administrative role
  • Experience supporting C-level executives or founders preferred
  • Strong organizational and time-management skills with the ability to multitask
  • Excellent written and verbal communication skills
  • High level of discretion and confidentiality
  • Proficiency in Microsoft Office, Google Workspace, and CRM/tools
  • Ability to work in a fast-paced, dynamic environment

Preferred Qualifications

  • Experience in a law firm or professional services environment
  • Familiarity with legal processes (intake, case management, documentation)
  • Project management or operations experience
  • Bilingual is a plus (English/Arabic or English/Spanish)


Salary rate: $6 USD per hour, depending on experience, for a 40-hour workweek.
