Our client is looking for an Executive Assistant to provide dedicated, high-level administrative and operational support to a C-level executive. This is more than a traditional administrative support position. You will work directly alongside a C-level executive, gaining valuable exposure to executive-level priorities, business operations, client relationships, and key company initiatives. The ideal candidate will become a trusted partner who helps keep communications, meetings, projects, and priorities moving forward. Provide dedicated administrative and operational support to a C-level executive.
Serve as a trusted partner in managing executive priorities, follow-ups, and day-to-day activities.
Manage a busy executive calendar, including internal meetings, client calls, conferences, events, and other commitments.
Coordinate meetings and calls, ensuring schedules, materials, resources, and logistics are organized in advance.
Prepare, format, review, and organize reports, presentations, documents, and other executive materials.
Conduct research, compile information, and create clear summaries to support executive decision-making.
Act as a reliable point of contact between the executive, internal teams, clients, and external stakeholders.
Handle client calls and inquiries professionally while delivering a high level of service.
Proactively help the executive stay ahead of priorities, deadlines, follow-ups, and ongoing projects.
Support special projects and evolving business needs as the organization continues to grow.
Maintain strict confidentiality when handling sensitive business information and executive communications.
Work independently, anticipate needs, and identify ways to make executive workflows more efficient.
Adapt quickly to shifting priorities while confidently managing multiple responsibilities.
Previous experience as an Executive Assistant or in a similar high-level administrative support position.
Experience working directly with C-level executives, senior leaders, or business owners.
Excellent written and verbal communication skills in English.
Strong organizational and time-management skills with the ability to balance multiple priorities.
Advanced proficiency with Microsoft Office and confidence learning new digital tools.
Exceptional attention to detail and commitment to producing accurate, polished work.
Ability to handle confidential information with professionalism and discretion.
Confidence communicating directly with executives, clients, and internal teams.
Proactive mindset with the ability to work independently and anticipate needs.
Strong judgment and problem-solving skills.
Adaptability and comfort working in a dynamic, fast-paced organization.
Strong customer service and relationship-building skills.
Bachelor’s degree in Business Administration, Executive Secretarial Studies, or a related field.
Proven experience supporting executives, senior managers, or leadership teams.
Hands-on experience coordinating calendars, meetings, reports, presentations, and administrative workflows.
Strong professional judgment and ability to prioritize effectively with minimal supervision.
Comfortable collaborating remotely with U.S.-based executives, clients, and stakeholders.
Experience in media, commercial real estate, events, marketing, or professional services is a plus.
