The Event Program Manager will independently own and execute complex event workstreams, including executive forums and major conferences. They are responsible for translating stakeholder direction into actionable plans, managing cross-functional teams, and ensuring seamless onsite delivery.
We are seeking an experienced Event Program Manager to support the strategy, planning, and execution of high-impact events and executive programs for a portfolio of complex, high-visibility programs.
This is a mid-to-senior level individual contributor role for someone who can quickly understand complex conversations, independently translate direction into action, and confidently manage multiple interconnected workstreams with limited oversight.
The ideal candidate will be more than a strong event executor. They will be a highly capable program manager who can participate in senior stakeholder meetings, understand the broader business context, identify priorities, capture decisions and dependencies, and immediately turn conversations into clear next steps, communications, timelines, and deliverables.
This person will support a portfolio that may include executive forums, leadership programs, major conferences, summits, partner experiences, and other high-visibility events. They should thrive in fast-moving environments where priorities evolve, information may initially be incomplete, and the expectation is to proactively create structure rather than wait for detailed instructions.
Independently own significant workstreams across events, executive programs, conferences, summits, and related experiences.
Translate high-level stakeholder direction into actionable event plans, milestones, deliverables, owners, and timelines.
Quickly understand the purpose, audience, stakeholders, and objectives behind each program and use that context to guide execution.
Develop and maintain detailed workback plans, trackers, meeting cadences, dependencies, and decision logs.
Manage multiple programs simultaneously while maintaining clear command of status, risks, outstanding decisions, and next steps.
Proactively identify gaps, risks, or unclear ownership and drive resolution without waiting for issues to be surfaced.
Adapt plans as priorities, staffing, programming, or business needs change.
Participate actively in meetings with senior stakeholders, event leads, executive program owners, agency partners, and cross-functional teams.
Listen for decisions, nuances, dependencies, risks, and implied action items rather than relying solely on explicitly assigned tasks.
Synthesize complex conversations into concise notes, clear action items, owners, deadlines, and follow-up.
Confidently ask thoughtful clarifying questions when needed while demonstrating strong comprehension of the broader discussion.
Provide proactive updates on progress, risks, dependencies, and decisions.
Build credibility with stakeholders through consistent follow-through and anticipation of upcoming needs.
Operate professionally and independently in meetings involving executive and high-profile audiences.
Support executive forums, leadership programs, advisory experiences, and other high-touch events.
Coordinate attendee and staffing plans, executive participation, schedules, communications, session requirements, and onsite support.
Manage detailed participant information and quickly adjust plans as attendance, staffing, or programming changes.
Ensure executive-facing materials, schedules, communications, and event details are accurate and appropriately polished.
Maintain discretion and sound judgment when supporting senior leaders and high-profile participants.
Manage event content workflows from initial planning through final delivery.
Coordinate speakers, session owners, content contributors, reviews, approvals, rehearsals, and deadlines.
Maintain clear visibility into content status and proactively follow up on outstanding deliverables.
Partner with creative, production, marketing, and communications teams on presentations, event assets, signage, and attendee materials.
Ensure content and programming remain aligned to event objectives and audience needs.
Draft polished stakeholder, speaker, attendee, and internal event communications with minimal direction.
Convert verbal discussions into accurate follow-up communications, calendar invitations, briefing materials, and action plans.
Develop registration and attendee communication plans, including invitations, confirmations, reminders, Know-Before-You-Go communications, and post-event follow-up.
Tailor communications appropriately for executive, stakeholder, internal, and external audiences.
Ensure written communications accurately reflect the decisions and context of the underlying conversation.
Serve as a primary point of coordination for event agencies, production teams, venues, registration providers, creative partners, and other vendors.
Establish clear deliverables, owners, timelines, and expectations.
Track external dependencies and proactively address issues before they affect event execution.
Coordinate venue, production, registration, staffing, food and beverage, signage, shipping, and other logistical requirements as applicable.
Participate in site visits and production planning as required.
Travel to priority events and site visits to support onsite delivery.
Review and manage run-of-show documents, staffing plans, schedules, floor plans, speaker requirements, registration processes, and escalation procedures.
Serve as a confident onsite point of contact for stakeholders, agencies, vendors, speakers, and event teams.
Troubleshoot issues in real time and make sound decisions without requiring unnecessary escalation.
Maintain composure and attention to detail when plans change or multiple priorities arise simultaneously.
Support post-event reconciliation, stakeholder debriefs, lessons learned, and recommendations.
Bachelor’s degree or equivalent practical experience.
5–8+ years of experience in event program management, experiential marketing, field marketing, executive programs, conferences, or related program management roles.
Demonstrated ability to independently manage complex programs with limited day-to-day direction.
Proven ability to quickly understand complex conversations and translate them into clear plans, decisions, and actions.
Experience supporting senior or executive-level stakeholders in a fast-paced environment.
Strong written communication skills with the ability to independently draft polished stakeholder and attendee communications.
Experience managing multiple concurrent programs, workstreams, stakeholders, and deadlines.
Strong event planning and production knowledge across in-person, hybrid, and/or virtual experiences.
Experience coordinating agencies, vendors, speakers, venues, or production partners.
Exceptional organizational skills and attention to detail.
Strong judgment and ability to determine next steps when direction is incomplete or circumstances change.
Ability to prioritize quickly and distinguish critical information from background discussion.
Comfortable operating in ambiguity and creating structure where processes or requirements are still evolving.
Strong proficiency with Google Workspace and familiarity with project management, event management, and collaboration platforms.
Ability and willingness to travel for events and site visits.
Experience within partner marketing, channel marketing, field marketing, B2B technology, or another complex enterprise environment.
Experience supporting executive forums, CMO/CXO programming, advisory groups, or other high-touch executive experiences.
Experience managing major technology conferences, industry summits, executive programs, or global B2B events.
Experience working across multiple teams, functions, regions, and time zones.
Experience creating scalable event processes, templates, trackers, playbooks, and operating models.
Familiarity with registration platforms, attendee management systems, event technology, and reporting tools.
The strongest candidate will demonstrate an ability to connect the dots.
They should be able to enter a meeting with multiple stakeholders, understand what is being discussed and why it matters, recognize decisions and dependencies in real time, and leave knowing exactly what needs to happen next.

Travel is expected approximately 3–5 times annually, based on the event calendar and business needs. Travel may include major U.S. event destinations and other locations as required. Trips may typically range from approximately 2–6 days and can include early mornings, evenings, and occasional weekend support.
