About This Role:

The Event Production & Client Success Manager manages the logistical needs of our production calendar for both live and virtual events, and owns the relationships with the sponsors who attend them.

Production is the larger share of the job, and volume is what defines it. In the next twelve months we are producing thirteen live conferences and a virtual conference every month. Several events sit at different planning milestones at once, and you would carry them without being told what is due next.

Key tasks include managing A/V teams on visual and audio production needs, review and management of rental orders, vendor requirements and temporary staff hiring, creation of venue layouts and detailed run-of-show schedules, execution of vendor contracts, and construction of the event budget. Much of the work is reconciliation — the A/V order against the current slate of content, the final catering guarantee against the projection it came from, the printed program against the website and the run of show.

Alongside production you would be the point of contact for a roster of our sponsors, administering their deliverables and making sure their experience on site earns a renewal. Producing the event and serving the client are the same job here, done by the same person, which is what makes both halves work.

This is a remote position, and also includes regular travel to other cities for in-person events.

Responsibilities:

Event Production

  • Run the full production process for assigned conferences from the 180-day milestone through post-event wrap-up, and lead the milestone production meetings along the way
  • Create detailed run-of-show schedules and venue layouts, and manage room capacity against the final slate of content and expected attendance
  • Manage A/V teams on visual and audio production needs, walking the order line by line as content changes
  • Review and manage rental orders and vendor requirements, and hire and coordinate temporary event staff
  • Own vendor contracts across venue, catering, A/V, rentals, video, and photography, including deadlines and certificates of insurance
  • Manage catering selections and final guarantees, and compare final numbers against projections
  • Build and maintain the event budget from signed contracts and estimates, and track costs against it as scope changes
  • Place badge, program, and signage orders against their drop-dead dates, and coordinate shipping and staff travel
  • Produce our virtual events on platforms such as Zoom — setting up templates, managing schedules, and ensuring staffing of key roles

Client Success

  • Act as point of contact for a roster of sponsors on their event logistics, escalating as needed
  • Administer all sponsor deliverables — advance materials, shipping of display items, presentation media
  • Assign sponsor table locations, and confirm sponsor and speaker registrations against the production plan
  • Conduct post-event feedback calls, and contribute to renewal rate and customer satisfaction scores

Requirements

  • This position requires a 4-year college/university degree at minimum
  • Candidates should have a strong academic background and a minimum of 3 years of full-time, professional post-graduation experience
  • Direct experience producing complex events — corporate or marketing events, executive gatherings, conferences, trade shows, festivals, or arts events — where you were accountable for the event coming off
  • Experience as a named point of contact for external clients, sponsors, or partners
  • Experience working in-house at a corporation at some point in your career, in any function. Our sponsors are corporate leaders, and the people who serve them best here have worked inside that environment themselves.
  • Experience carrying many concurrent events against fixed deadlines, and owning event budgets and vendor contracts
  • Comfort with project management software such as ClickUp, Asana, or Monday as a daily working tool
  • Outstanding organizational and time management skills, and excellent verbal and written communications skills
  • Willingness to travel regularly for events

Benefits

  • This is a full-time salaried position. Starting salary is $75,000 CAD per year with opportunities for regular advancement and raises.
  • This position is remote, but please be available to meet with stakeholders based in or near the greater Toronto area if requested.
