The Opportunity

The Event Producer leads the planning and onsite execution of our clients' most creative and complex events - the general sessions, product launches, and multi-day conferences where every cue, every transition, and every moment on stage has to land.

 

You'll work at the intersection of strategy and execution: a trusted advisor who understands each client's brand and business goals, and a decisive problem-solver who turns an ambitious vision into a flawless show. You'll own the production plan end to end; scope, timeline, budget, creative deliverables, and the cue-by-cue run of show  while leading internal experts, vendors, and onsite crew to bring it all to life. You turn visionary concepts into flawless, high-impact reality.

 

This role requires frequent onsite travel (approximately 30%, or 6–7 days per month, domestic and occasionally international).

 

What You’ll Own:

  • Event Strategy & Concepting: Partner with internal teams to align event objectives with client goals. Drive innovation by collaborating on practical event solutions, managing budgets and timelines, and participating in pitches and site visits.

  • Client Relationships & Communication: Build trusted partnerships with stakeholders, including Fortune 1000 executives. Lead the flow of information and use executive presence to guide clients through every step of their event journey.

  • Creative & Vendor Management: Source and manage expert vendors while ensuring all creative deliverables align with brand standards. Navigate multi-million-dollar event budgets with transparency to deliver high-impact results.

  • Production Planning & Run of Show: Own the end-to-end production lifecycle, from initial scoping to execution. Build detailed technical runs of show, manage speaker rehearsals, and proactively resolve logistics to ensure a seamless experience.

  • Onsite Leadership: Serve as the primary onsite contact and decision-maker. Lead crew coordination, technical rehearsals, and executive coaching for presenters to ensure flawless execution in fast-paced environments.

 

What we need:

  • 5+ years of event industry experience, including 3–5 years producing large-scale corporate conferences and high-profile programs.

  • Run-of-show fluency: You have the proven ability to build cue-by-cue technical runs of show and lead rehearsals, stage management, and onsite execution.

  • Executive presence: You are skilled at navigating complex stakeholder dynamics and building trusted partnerships with Fortune 1000 executives, client teams, and vendors.

  • Budget & vendor ownership: You are comfortable scoping and tracking billable hours, sourcing and negotiating with vendors, and managing large event budgets with transparency.

  • Calm in the storm: You thrive in ambiguity, creating clear order and process where none exists, and stay steady under pressure.

  • Organized and fast: You’re a detail-obsessed multitasker who's accountable to deadlines and can juggle multiple overlapping projects.

  • A great communicator and people person: You communicate clearly in writing and in person, and you foster a culture of transparent, kind, and constructive feedback.

  • Values alignment: You demonstrate kindness, commitment, and humility in everything you do.

Nice to Have

  • Show-calling experience, on an as needed basis

  • Experience integrating AI into events, concepting entertainment, planning agendas and sessions, and designing interactive attendee engagement.

  • Experience scripting and directing the work of speechwriters, graphic designers, video editors, and other creatively technical roles.

The Impact

Within 1 month, you'll:

  • Learn MT's services - the value we offer, the events we produce, and our customer-service mentality.

  • Meet with the Project Management, Production, Creative, and Sales teams to learn best practices for supporting our clients.

  • Get comfortable with our core tools and have opportunities for training to expand your exposure and understanding of how we manage events at Meeting Tomorrow.

Within 3 months, you'll:

  • Build strong, lasting relationships with clients and internal teammates that support high client retention.

  • Begin to create your own processes for working with your clients and identify opportunities for efficiency/improvement.

  • Support or lead a large-scale event or event series for premier clients including building the run of show and leading rehearsals. These clients include Fortune 1000 companies in many sectors including pharmaceutical, wealth management, and production service agencies

Within 6 months, you'll:

  • Manage accounts with autonomy and own the cue-by-cue run of show and onsite production for general sessions.

  • Demonstrate strong problem-solving and contingency planning, consistently exceeding client expectations.

  • Complete a project that improves the efficiency and effectiveness of the team.

The above range is the starting salary range for this role. The final starting salary is based on individual experience and how closely it translates to the role. Once in the role, we offer annual merit increases based on performance.
