AI Summary

The Enterprise AI Operations Lead manages the full operational stack for enterprise AI, including Claude deployment, agentic tooling, and knowledge source governance. This role also oversees AI usage, spend reporting, and ensures compliance with security and data privacy standards.

VitalSource®, is hiring an Enterprise AI Operations Lead to contribute to our IT team located in Raleigh NC, Chicago IL, Franklin TN, or Boston MA (preferred locations). Applicants outside of these preferred locations will still be considered.

The Enterprise AI Operations Lead is the technical engine behind VitalSource's enterprise AI program. This hands-on role owns the full operational stack — administering our Claude Enterprise deployment across chat and Claude Code, governing AI tooling and connectors, managing knowledge sources for internal retrieval, and overseeing usage, spend, and reporting. You'll keep leadership informed on adoption, cost, and risk while partnering closely with the AI Enablement Lead to ensure our AI infrastructure is configured, controlled, and running at its best.

Key Responsibilities:

  • Administer the Claude Enterprise deployment across chat and Claude Code, including user provisioning, permission scoping, workspace configuration, and integration management.
  • Own configuration and guardrails for agentic AI tooling (Claude Code and similar): managed settings, permission modes, allowed and denied tool lists, and policy enforcement across developer environments, in coordination with Engineering.
  • Govern connectors, extensions, MCP, and skill requests, evaluating each against policy and data-handling standards and routing approvals or denials through the IT intake process.
  • Govern internal knowledge sources feeding AI retrieval: run intake and trust-tier classification, maintain a source inventory, monitor freshness and access enforcement, and escalate any regulated-data source to Legal and Data Privacy. This role operates and governs knowledge layers it is handed; it does not design them.
  • Build and maintain usage and spend reporting and BI dashboards (Looker or comparable), covering active users, adoption, license and seat utilization, dormant seats, and cost-per-seat trends.
  • Manage AI tooling spend and token consumption, surfacing optimization opportunities (model routing, seat reclamation, tier right-sizing) and flagging cost anomalies.
  • Monitor AI platform usage for risky behavior, policy exceptions, and unusual access patterns, within a monitoring scope defined with Legal and Security.
  • Partner with Security and Compliance on audit evidence, access reviews, tool inventory, vendor touchpoints, and documentation of configuration and governance decisions.

Required Qualifications:

  • 5+ years in IT operations, systems administration, or technical operations, with demonstrated governance, risk, or compliance (GRC) judgment.
  • Enterprise SaaS administration experience, including user management, SSO/SCIM, permissions, and audit log review.
  • Hands-on experience building and maintaining BI dashboards and recurring reporting (Looker or comparable).
  • Working familiarity with developer or agentic AI tooling (e.g., Claude Code, Cursor), including how permission controls and autonomous execution work and where the risks sit.
  • Familiarity with how AI retrieval works (RAG, connectors, knowledge bases) and the data-governance questions it raises: source trust, access scope, and where regulated data must not flow. Ability to govern a retrieval layer, not necessarily design one.
