The Closing Operations Manager oversees the Post Closing and Distribution Authorization functions, focusing on people leadership, operational strategy, and performance management. Job Description:
The Manager, Closing Operations owns the overall performance, direction, and people strategy for the Post Closing and Distribution Authorization (DA) functions. This is a true people-and-operations management role: rather than running day-to-day queues, the Manager sets strategy, builds and develops a team of Team Leads and Specialists, owns departmental KPIs, and partners with senior leadership to scale closing operations in line with company growth. The Manager reports directly to the VP, Transaction Operations and serves as the primary accountable owner for both teams' operational health, compliance, and agent experience.
Responsibilities:
- People Leadership: Directly manage, coach, and develop the Post Closing team and DA Team team(s), building a bench of strong leaders and ensuring consistent performance management, goal-setting, and career development across both teams.
- Operational Strategy: Own the operating model for Post Closing and DA, setting priorities, workflows, and standards that scale with agent and transaction volume across all states and regions served.
- Performance Management: Establish and monitor KPIs for both functions (turnaround times, accuracy, agent satisfaction), holding Teams accountable to targets and driving corrective action where needed.
- Escalation Ownership: Serve as the final point of escalation for the most complex commission, distribution, and compliance issues, ensuring resolution protects both the agent experience and company risk position.
- Process & Systems Improvement: Identify and lead cross-functional process, technology, and workflow improvements that increase accuracy, reduce turnaround time, and reduce manual effort across Post Closing and DA.
- Compliance & Risk: Ensure both teams operate within regulatory requirements and company policy, maintaining clean audit trails and documentation standards across all transaction and distribution activity.
- Cross-Departmental Partnership: Partner with the VP, Transaction Operations, Accounting, Legal, and other departments to align on process, resolve systemic issues, and represent Post Closing/DA needs in broader operational planning.
- Workforce Planning: Own staffing, hiring, and capacity planning for both teams in partnership with the VP, Transaction Operations, anticipating volume growth and adjusting team structure accordingly.
- Reporting & Insights: Deliver regular reporting on team performance, trends, and risk areas to senior leadership, using data to inform staffing, process, and policy decisions.
Performance Expectations:
- Team Health & Development: Build a stable, high-performing leadership bench with clear growth paths and low regrettable turnover.
- Operational Excellence: Meet or exceed established KPIs for both Post Closing and DA on a consistent, sustained basis.
- Scalable Operations: Demonstrate that processes and staffing models scale effectively as agent count and transaction volume grow.
- Cross-Functional Trust: Be viewed by peer departments and senior leadership as a reliable, proactive partner who resolves issues at the root cause.
Qualifications:
- 3-5 years of relevant experience in real estate, mortgage, title, or a closely related field.
- At least 2 years of direct people management experience, including performance management and employee development.
- Demonstrated experience leading teams or team leads through other managers (multi-level leadership experience strongly preferred).
- Strong understanding of closing, commission distribution, or transaction compliance processes.
- Proven ability to use data and KPIs to manage performance and drive process improvement.
- Excellent communication, coaching, and cross-departmental collaboration skills.
- Ability to manage multiple priorities and escalations in a fast-paced, high-growth environment.
