Beyond task execution, the associate is expected to take initiative, suggest ideas, and translate high-level direction into clear actions, templates, and workflows. Key Responsibilities:
Business Development, Outreach & Relationship Management
• Track professional connections including where they were met, context, and next touchpoints.
• Draft and schedule thoughtful follow-up messages after meetings, conferences, and introductions using the principal’s voice.
• Manage light LinkedIn outreach and follow-ups with approved messaging.
• Classify relationships (warm, cold, dormant) and track next actions.
• Maintain outreach logs and follow-up schedules to ensure opportunities are nurtured.
• Suggest outreach approaches and follow-up systems to improve relationship development.
CRM & Pipeline Management
• Build and maintain CRM systems such as Dubsado or HubSpot.
• Track contact details, outreach history, last interactions, and next touchpoints.
• Keep CRM data clean, organized, and easy to reference.
• Provide simple visibility reports on relationship pipelines and follow-ups.
• Recommend improvements to CRM structure or tracking workflows.
Studio Operations & Administrative Support
• Support proposal preparation with formatting, timelines, and document organization.
• Track invoices, deposits, and balances for internal visibility.
• Monitor procurement status including orders, shipments, and delays.
• Organize vendor quotes, approvals, and project documentation.
• Maintain structured folders, trackers, and operational records.
• Assist with new employee account setup when needed.
• Create templates and systems that streamline recurring tasks.
Marketing Support (Execution-Focused)
• Repurpose content created by the principal into usable formats.
• Prepare and schedule approved content for posting.
• Organize captions, images, hashtags, and assets in a centralized system.
