Position Summary
One of our clients is seeking a proactive and highly organized Bilingual Medical Receptionist & Executive Assistant to support the daily operations of a growing physical therapy practice. This role combines front-office medical reception responsibilities with executive administrative support to the practice leadership.
The ideal candidate is fluent in both English and Spanish, has previous experience working in a physical therapy practice, and is comfortable managing patient communications, referrals, scheduling, executive administrative tasks, and high-volume email correspondence in a fast-paced healthcare environment.
Key Responsibilities
Medical Reception & Patient Coordination
- Manage a high-volume shared email inbox and prioritize incoming requests.
- Answer inbound patient calls professionally in both English and Spanish.
- Communicate with Spanish-speaking patients, referral sources, and providers.
- Process and coordinate new patient referrals.
- Schedule, confirm, and reschedule patient appointments.
- Maintain accurate patient records and update internal systems.
- Escalate urgent patient matters appropriately.
Executive & Administrative Support
- Provide administrative support to the practice leadership.
- Coordinate calendars, meetings, and daily priorities.
- Organize documents and maintain accurate administrative records.
- Assist with day-to-day operational tasks and workflow coordination.
- Support special projects and additional administrative duties as assigned.
Required Qualifications
- Fluent in English and Spanish (spoken and written).
- Previous experience working in a physical therapy practice is required.
- Previous experience as a Medical Receptionist, Executive Assistant, Intake Coordinator, or Healthcare Administrative Assistant.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Comfortable managing multiple priorities in a fast-paced healthcare environment.
- Proficiency with Microsoft Office, Google Workspace, email platforms, and CRM or case management systems.
