We are seeking a highly organized and detail-oriented Remote Legal Assistant to join our growing team. This position is open exclusively to candidates located outside of the United States. Fluency in both English and Spanish is required. Previous experience supporting personal injury law firms is strongly preferred.
Position Overview
The Remote Legal Assistant provides administrative and case support to attorneys, paralegals, and case managers handling personal injury matters. This role requires exceptional organizational skills, strong written and verbal communication, and the ability to manage multiple priorities in a fast-paced remote environment.
The ideal candidate is proactive, dependable, detail-oriented, and able to work independently while collaborating effectively with legal professionals across multiple law firms. Candidates with prior personal injury experience are highly preferred.
Key Responsibilities
Case Support
- Assist attorneys, paralegals, and case managers with daily case administration.
- Maintain accurate and organized electronic case files.
- Review, organize, and upload client records, medical records, billing statements, and other case-related documentation.
- Track outstanding records requests and follow up with medical providers, insurance companies, and other third parties.
- Prepare case summaries, chronologies, and supporting documentation.
Administrative Support
- Manage calendars, appointments, deadlines, and task assignments.
- Schedule client meetings, consultations, and case-related appointments.
- Coordinate communication between clients, law firms, medical providers, and insurance representatives.
- Monitor email correspondence and ensure timely follow-up.
- Provide administrative support to attorneys and legal staff.
Document Management
- Draft, proofread, edit, and format legal correspondence and case-related documents.
- Prepare letters, forms, and requests.
- Maintain organized and accurate case documentation within case management systems.
- Ensure quality control and document accuracy.
Client Communication
- Communicate professionally with clients in both English and Spanish.
- Gather information, answer routine questions, and provide case updates as directed.
- Deliver exceptional customer service while maintaining confidentiality.
- Build positive client relationships through timely and professional communication.
Records & Provider Coordination
- Request and follow up on medical records, billing records, police reports, and other supporting documentation.
- Communicate with healthcare providers, medical facilities, and insurance carriers regarding case-related information.
- Track outstanding requests and verify receipt of documentation.

Work Schedule
- Full-time remote position.
- 40 hours per week.
- Must be available during U.S. Mountain Time business hours.
- Consistent attendance and responsiveness during scheduled work hours are required.
Requirements
Required Qualifications
- Fluent in both English and Spanish (written and verbal).
- Minimum of one year of experience as a Legal Assistant or in a related legal support role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Ability to work independently while maintaining productivity and accountability.
- Strong attention to detail and commitment to accuracy.
- Reliable high-speed internet connection and a professional remote work environment.
Preferred Qualifications
- Previous experience working in a personal injury law firm is strongly preferred.
- Experience as a Case Manager, Intake Specialist, Records Specialist, or Paralegal.
- Familiarity with personal injury case workflows, medical records, and insurance claims.
- Experience using legal case management software such as Filevine, CasePeer, Litify, Clio, Needles, or similar platforms.
- Proficiency with Microsoft Office, Google Workspace, and cloud-based collaboration tools.
