The bookkeeper is responsible for maintaining accurate financial records, reconciling accounts, and managing project administration tasks. They also provide general administrative support, coordinate procurement, and assist with operational efficiency and quality documentation.
This is a remote position.
Purpose of the Role
The Bookkeeper provides day-to-day finance, administration, and operational support to help the business run efficiently. This role is responsible for maintaining accurate financial records, supporting project administration, coordinating purchasing activities, and providing general administrative assistance to the team.
Key Responsibilities
Finance & Bookkeeping
- Process supplier invoices and maintain accurate financial records in Xero.
- Reconcile bank accounts, credit cards, and expense transactions.
- Prepare payment schedules and monitor outstanding supplier invoices.
- Assist with month-end reconciliations, financial reporting, and BAS support.
- Communicate with suppliers regarding invoices and account queries.
Project Administration
- Support financial administration for client projects.
- Track project costs, expenses, and budgets.
- Prepare draft client invoices for review.
- Maintain accurate project financial records.
Purchasing & Procurement
- Coordinate the purchase of office supplies and equipment.
- Obtain supplier quotations and compare pricing.
- Track purchase orders and deliveries.
- Maintain supplier records and assist with monitoring business expenses.
Administration & Operations
- Provide administrative support, including calendar management, travel bookings, document preparation, and data entry.
- Maintain organised electronic files and company records.
- Assist with onboarding new clients, contractors, and team members.
- Support consultants with administrative tasks to improve operational efficiency.
- Help maintain company assets, operational documents, and business systems.
Quality & Continuous Improvement
- Maintain quality documentation and company procedures.
- Assist with compliance and quality management activities.
- Coordinate customer feedback and satisfaction surveys.
- Identify opportunities to improve business processes and operational efficiency.
- Support continuous improvement initiatives across the business.
Requirements

Previous experience in bookkeeping, finance, or administration.

Experience using Xero

Understanding of Australian GST and BAS requirements is preferred.

Strong organisational, time management, and communication skills.

High attention to detail with strong numerical accuracy.

Proficient in Microsoft Office and Google Workspace.

Able to work independently in a remote environment.

Australian bookkeeping or professional services experience is an advantage.

Qualification in Business Administration, Accounting, Bookkeeping, or a related field is desirable but not essential.
Work Environment & Expectations
While this is a work-from-home position, it is important to note that this is a full-time role—not a freelance or flexible-hour arrangement. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability, just as you would in an office environment.

⏱ Payroll is processed bi-monthly.

Benefits
1. Monthly Salary: PHP 35,000
2. Salary will be paid on a bi-monthly basis on the 15th and 30th or 31st of each month
3. You will be paid extra for overtime and Philippines public holidays
