Assistant Director, Clinical Education Operations

The Assistant Director, Clinical Education Operations provides leadership and operational oversight for clinical education programs, including clinical rotation scheduling, credentialing systems, and clinical education coordinators. Ensure accurate scheduling, data integrity, accreditation compliance, and a high-quality clinical education experience for medical students.

This role will report to the Director, Clinical Education Operations.

Essential Functions

1. Program Operations

  • Oversee daily operations of clinical rotation programs including:
  • Clinical scheduling for third and fourth year rotations
  • Clinical site placement
  • Rotation database management and reporting
  • Clinical degree audits
  • Ensure students are appropriately scheduled to meet academic requirements and graduate on time.

2. Staff Leadership and Supervision

Manage clinical education staff including coordinators and scheduling personnel.

Responsibilities include:

  • Hiring, training, mentoring, and supervising staff
  • Assigning priorities and monitoring workloads
  • Conducting staff meetings and performance evaluations
  • Ensuring consistent operational standards across teams.

3. Clinical Scheduling Oversight

Direct scheduling activities for all clinical students.

Responsibilities include:

  • Monitoring student rotation schedules
  • Ensuring completion of required clerkships and electives
  • Maintaining schedule accuracy for reporting and accreditation
  • Addressing scheduling conflicts and escalated student concerns.
  • Ensure correct sites are scheduled while keeping in mind RVU accreditation requirements and state requirements.

4. Data Systems and Reporting

Oversee clinical education data systems.

Responsibilities include:

  • Managing rotation management systems
  • Maintaining clinical site databases
  • Ensuring accurate data entry and reporting
  • Developing reports for program evaluation and accreditation.

5. Compliance and Accreditation

Ensure all clinical education activities comply with institutional and regulatory requirements.

Responsibilities include:

  • Maintaining FERPA compliance
  • Ensure student scheduling is in compliance with Registrar and Financial Aid
  • Supporting accreditation and program review processes
  • Ensuring adherence to institutional policies.

6. Stakeholder Collaboration

  • Serve as liaison between:

    Students
    Clinical student administrators
    Hospital Partnerships Team
    Academic and operational leadership
  • Facilitate communication to ensure smooth clinical rotation operations.


7. Process Improvement and Strategic Planning

Identify opportunities to improve clinical education processes.

Responsibilities include:

  • Developing workflow improvements
  • Implementing new technology solutions
  • Standardizing scheduling processes
  • Supporting departmental strategic initiatives.

8. Other Duties

  • Provide coverage for clinical education operations as needed to ensure uninterrupted service to students, faculty and staff.
  • Support institutional initiatives and special projects as assigned.
  • Represent clinical education operations in institutional meetings and strategic discussions.
  • Perform other duties and special projects assigned by leadership.

Essential Knowledge, Skills, and Abilities

  • Strong leadership and staff management skills
  • Knowledge of clinical rotation scheduling and medical education processes
  • Advanced organizational and problem-solving abilities
  • Strong communication and interpersonal skills
  • Ability to manage complex data systems and reporting tools
  • Proficiency with Microsoft Office and clinical education software systems.

Qualifications

  • Bachelor’s degree in healthcare administration, education, business administration, or related field OR equivalent professional experience
  • 3–5 years experience in clinical education, scheduling, or academic administration
  • 2+ years of supervisory or leadership experience.

Preferred Qualifications

  • Master’s degree in healthcare administration, education, or related field
  • Experience working in medical education or academic health systems
  • Experience with clinical rotation management systems such as New Innovations, Clinician Nexus, or similar platforms.

Work Environment

  • Primarily office-based or remote work within a collaborative operational environment supporting medical education programs.

Hours & Travel

  • Standard full-time work schedule
  • Extended hours may be required during peak scheduling periods

The anticipated salary range for the Assistant Director, Clinical Education Operations is $90,000 - $100,000 per year. The final salary offered may vary and will be determined based on factors such as job-related knowledge, skills, experience, location, and education of the successful candidate.
