Arbiter AI builds AI-powered patient outreach and scheduling technology for healthcare organizations. Our platform reaches patients by phone to help them schedule important preventive care, and our care coordination team makes sure every patient interaction stays smooth, accurate, and human whenever it needs to be.
We’re hiring a bilingual (English/Spanish) AI Care Coordination Specialist to run patient scheduling alongside our AI outreach system, as the human in the loop. Your primary job is to make sure patients get booked and every appointment is accurate and complete. Because we’re a small, fast-moving team, you’ll also pick up operational work that keeps the program running, and the role will grow as our software does.
Handle live call transfers: take warm handoffs from our calling system and speak directly with patients in English or Spanish to answer questions, resolve concerns, and complete their scheduling.
Manage the bookings review portal: review appointments captured by the system, coordinate with the provider’s practice, make adjustments, and follow up on anything incomplete before it’s finalized.
Prepare and validate patient call lists: load lists into our system, work through the error reports, and make sure the data is clean before outreach begins.
Book into practice systems: where a practice allows, enter appointments directly into their scheduling system or EHR.
Alongside scheduling, you may take on ad-hoc operational work that keeps each practice running:
Be a point of contact for the practices you support, gathering what we need from them such as schedules, availability, and approvals.
Keep appointment availability current, coordinating directly with practices.
Help complete the setup steps that enable calling and texting for new practices, such as carrier and telecom registrations.
Keep an eye on how outreach is going, and troubleshoot or escalate issues as they come up.
Fluent in both English and Spanish, spoken and written.
Prior healthcare experience such as medical scheduling, patient access, front-desk or reception, patient coordination, or a healthcare call center.
Strong verbal and written communication skills, and confidence on the phone.
Meticulous with data and detail; you catch and correct errors, because in healthcare accuracy is patient care.
Comfortable learning and working across multiple software systems, from our own consoles to practice scheduling tools and EHRs.
Self-directed and resourceful; you take ownership of problems, solve what you can, and know when to escalate.
Adaptable and comfortable with a changing, early-stage process.
Understanding of patient privacy and confidentiality (HIPAA awareness).
Experience with scheduling software or EHR/EMR systems (such as eClinicalWorks, Epic, or athenahealth).
Experience in a remote or fast-paced startup environment.
Employment type: Contract (1099 / independent contractor).
Location: Remote, reside in the US & Must have US Work Authorization
Equipment: Access to a private computer, private workspace, and private, strong internet connection
Hours & schedule: Part time. Monday - Friday, 1pm - 4pm ET. May transition to full-time in the future.
Compensation: $17 per hour
