As an Accounting Data Entry Specialist, you keep our daily financial activity accurate and current. You enter deposits, payments, and journal entries in QuickBooks Online, reconcile daily activity between our systems, support billing, and clean up credit-card transactions. This is a hands-on execution role, not an accountant or analyst position. You will follow proven processes, not design them.

What You'll Do

• Daily Activity Match: Reconcile yesterday's activity between our systems and prepare a short check-sheet for review
• Income Journal Entry: After review approval, post the daily income journal entry in QuickBooks Online
• Deposits and Payments: Enter deposits and prior-day vendor payments in QuickBooks Online
• Work-Order Billing: Process next-day work-order billing entries
• Billing Sync: Keep billing records in sync, reverse incorrect entries, and route clean re-bills
• Billing Check File: Maintain a daily billing check file with short, clear reasons when numbers don't match
• Lease-Renewal Fees: Enter lease-renewal fee bills
• Maintenance Spreadsheet: Update the daily maintenance spreadsheet each morning for leadership
• Owner-Payout Support: Support owner-payout setup during payout weeks
• Credit-Card Cleanup: Clean up corporate credit-card vendor names, splits, and chargebacks in QuickBooks Online
• Checklist Ownership: Keep your assigned daily checklist items current and complete
• Process Notes: Document simple step-by-step instructions so coverage is easy when someone is out

Who We're Looking For

• Accounting Data Entry Experience: Minimum 1 to 2 years entering transactions in QuickBooks Online or a similar accounting system, including bank or account reconciliations. General data entry, typing, or transcription work without accounting transactions does not qualify
• Accounting Basics: You understand debits and credits, journal entries, and reconciliations, and you know what it means when totals don't tie out
• Accuracy at Volume: You enter high volumes of numbers daily with near-zero errors and catch your own mistakes before anyone else does
• Software: QuickBooks Online strongly preferred, and experience with property management software such as AppFolio, Buildium, or Yardi is a plus
• English: Strong written English (B2 or higher), since you will write short, clear notes and questions to US-based teammates every day
• Education: High school diploma required, and an associate's or bachelor's degree in accounting or business is welcome but not required
• Temperament: Detail-driven, calm under daily deadlines, and consistent. You would rather get it right than get it fast, and you manage to do both
• Home Office: Modern computer, stable high speed internet with a backup connection, and a dedicated quiet workspace
