Yes, you'll answer calls, book appointments, and manage a calendar.
But the real business we are in is steadying the room — helping a worried pet owner get to a clear next step in seconds, not minutes.
A caller hangs up because nobody picked up fast enough, and the clinic never even knows a client was lost. A borderline emergency gets treated like a routine booking because nobody caught the red flag in time. A missed call sits untouched for hours while the pet owner books with another clinic. A calendar fills with the wrong appointments because nobody qualified the caller properly.
Every one of those is a pet that didn't get seen, or a client the clinic will never get back. That is what this role is for.
We are hiring a Virtual Front Desk Operator who helps every caller, controls every conversation, and closes every call with a clear next step.
This is not a generic answering-service job. You are the front-door operator of a clinic's revenue. This is a remote role through ScaleSource.
If you need to be told every step, this is not the role.
If you can stay calm with a panicked pet owner on the line and turn that call into a booked appointment, you may be exactly who we need.
Our standard is simple:
Every caller gets qualified fast, every red flag gets caught, and no missed call goes untouched.
If the phone rings, it gets answered with a warm, calm, audible smile — every time. If a caller describes a symptom, it gets checked against the emergency red flags before anything else. If a call is missed, it gets recovered within 20 minutes, not by end of day. And when the clinic looks at its booking rate, it's proof the front desk is working, not guessing.
We do not need someone who says, "I think I called that lead back."
We need someone who says:
"Answered 41 calls today, booked 26 — booking rate at 63%. Caught one red flag — a labored-breathing bulldog — and directed the owner to the ER inside 60 seconds. Missed-call queue closed by 5 PM, all 7 recovered inside the 20-minute window. Two callers asked about a competitor's pricing; I flagged the pattern to the manager."

Your mission is to make sure no pet goes unseen and no client is lost to silence.
You are the front door of the clinic. You handle the fear, the questions, and the calendar so the clinical team can handle the animals.
You will work across the phone, the Practice Management System, the dialer, and SMS to make sure every caller is qualified fast, every emergency is caught, every missed call is recovered, and every conversation ends with a clear next step.
You are not just answering phones.
You are protecting the pets, the clients, and the clinic's revenue — one call at a time.
You will run the clinic's calendar as if it were your own.

A missed call recovered in 20 minutes is a save. The same call recovered at 5 PM is usually someone else's client.

The test is simple: if the manager finds the pattern before you flag it, the front desk was watching but not seeing.
We care a lot about fit. Skills matter, but mindset matters more.
A warm, calm voice controls the conversation better than any script. A panicked caller matches your energy — so your energy is steady, warm, and certain, every call, including the last one of the day.
Ownership means the problem does not have to be your fault for it to become your responsibility. A missed call or missed red flag isn't a small thing in this role — it's a client or a pet at risk. You do not get to say, "It came in during my break" and wash your hands of it.
Qualify fast, but never rush past a red flag to hit a time target. Ninety seconds is the standard; the red-flag check comes first anyway. Fast and wrong is a pet that didn't get seen.
Bad news early is useful. Bad news late is expensive. Flag patterns — recurring complaints, missed-call trends, scheduling gaps — to managers before they become bigger problems. If you made a mistake on a booking or a triage call, say it immediately.
Every call, every recovery attempt, every promise to a client. Logged in the PMS, tagged, dated, owned. The clinical team treats what the record says — so the record has to be right.
This is an Owner Mindset role built on EOS: clear goals, weekly scorecards, honest feedback. Your output is booked appointments and caught red flags, and your scorecard is not a threat — it is how you prove the front desk is working.

Benefits
Remote, supporting U.S.-based veterinary clinics. Monday–Friday, 8 hours/day, overlapping U.S. Central Time, with reliability across morning (10AM–12PM) and evening (4PM–6PM) peak hours.
$1,000 USD/month base, increasing to $1,500 USD/month after 90 days.
