Role Overview

  • A quote was requested. Pricing needs confirmation. An approval is still pending. The customer is waiting.
  • And somewhere in Teams is a message everyone thought somebody else had answered.That’s where you come in.
  • As our Quote Process Coordinator, you’ll work with one of our US-based clients to bring visibility, momentum, and accountability to the quotation process.
  • Think coordinator meets process detective. You’ll know where active quotes stand, who owns the next action, and what needs to happen to keep them moving.
  • From initial request through approval, issuance, follow-up, and completion, you’ll coordinate the process so fewer quotations disappear into the dreaded “waiting on someone” pile.
  • Success in this role isn’t about looking busy. It’s about making sure the process works.

Key Responsibilities

  • Manage the central quotation queue from request through completion.
  • Prepare, update, and maintain customer quotations.
  • Track quote owners, statuses, deadlines, and next actions.
  • Follow up on missing information, pricing, and approvals.
  • Review previous quotations and customer account history.
  • Coordinate with sales, operations, estimating, finance, and management.
  • Maintain accurate quotation and pricing records.
  • Monitor quote turnaround times and aging.
  • Track outstanding approvals and follow-up activity.
  • Identify and report quotation delays and process bottlenecks.
  • Maintain operational trackers, dashboards, and scorecards.
  • Improve quotation processes, templates, trackers, and documentation.
  • Document workflows and support continuous process improvement.

Requirements

Required Qualifications:
  • 2+ years of relevant professional experience in sales coordination, quotation or estimating support, order processing, order management, customer service administration, project coordination, operations support, procurement, purchasing, or commercial administration.
  • Experience coordinating multi-step processes involving deadlines, approvals, and multiple stakeholders.
  • Proficiency with Microsoft Excel for quote tracking, pricing references, scorecards, reporting, and operational data.
  • Experience using a CRM or Customer Management System to maintain customer/account information and quotation history.
  • Proficiency with Microsoft Teams and Microsoft Outlook / Email for communication, follow-ups, approvals, and stakeholder coordination.
  • Experience using document management or shared drive platforms, such as SharePoint, OneDrive, or similar systems.
  • Strong organizational, prioritization, and follow-up skills.
  • Strong attention to detail and accurate record keeping.
  • Clear written and verbal communication skills.
  • Ability to manage multiple active priorities and determine appropriate next actions.
  • Ability to work independently, take ownership, and follow tasks through to completion.

Preferred Qualifications:

  • Experience using Quotation / Estimating Software for quoting, estimating, pricing, or order-entry processes.
  • Experience using an ERP or Order Management System to support quotation, order, pricing, or related operational workflows.
  • Experience supporting quotation, sales, commercial, order-management, procurement, or operations processes.
  • Experience identifying process bottlenecks and improving workflows, trackers, templates, or documentation.
  • Experience creating or maintaining operational dashboards, scorecards, and performance reports.
