Please note that this is a Non-Exempt role at $25 to $30/hr.

Responsibilities:

LMS Administration & Online Training Assignment

  • Assign and trigger required online training courses through the LMS for all new hires upon start, and for current clinicians based on annual, role-specific, and regulatory training schedules.
  • Maintain accurate LMS rosters, course assignments, and due dates across all agencies; enroll, transfer, and deactivate users as employees join, change roles, or separate.
  • Monitor online training completion daily, send reminders to clinicians with upcoming or overdue courses, and escalate persistent non-completion to supervisors and the People & Culture team.

In-Person Training Coordination

  • Serve as the central scheduling contact between clinicians and clinical trainers: contact clinicians by phone, text, and email to confirm availability and book in-person training sessions, competency check-offs, and skills validations conducted by clinical trainers.
  • Manage clinical trainers’ training calendars, coordinating session dates, times, locations, and participant lists, and resolving scheduling conflicts and cancellations promptly.
  • Confirm session logistics in advance (room reservations, equipment, sign-in sheets, participant notifications) so trainers can focus solely on delivering the training.
  • Reschedule no-shows and missed sessions quickly to keep new hires and current clinicians on track with required training timelines.

Tracking, Documentation & Compliance

  • Record completion of all online and in-person trainings; collect sign-in sheets and competency documentation from clinical trainers and file them in audit-ready employee training records.
  • Track compliance with the 12-hour annual HHA in-service requirement and other discipline-specific training obligations, flagging clinicians at risk of falling behind.

Communication & Reporting

  • Act as the day-to-day point of contact for clinicians’ training scheduling questions, responding promptly and professionally.
  • Track training metrics (completion rates, overdue trainings, no-show rates, time-to-completion for new hires) and prepare monthly dashboards for the Chief People Officer.
  • Communicate upcoming training requirements and deadlines to clinicians and their supervisors through regular reminders and schedules.

Requirements

  • Associate’s degree in human resources, healthcare administration, education, or a related field, or equivalent combination of education and experience.
  • Minimum two (2) years of experience in scheduling, training coordination, staffing coordination, or a similar logistics-heavy administrative role, preferably in home health, hospice, or another healthcare setting.
  • Hands-on experience administering an LMS or comparable system (assigning courses, managing rosters, running completion reports); experience with an HRIS a plus.
  • Working knowledge of healthcare training documentation requirements (e.g., HIPAA, in-service hour requirements, competency records), or the ability to learn them quickly.
  • Strong proficiency in Microsoft Excel for tracking logs, schedules, and compliance reports.
  • Exceptional organizational skills and attention to detail, with the ability to juggle multiple training calendars, trainer schedules, and deadlines across several agencies.
  • Excellent phone and written communication skills, with the persistence and professionalism to follow up with busy field clinicians until trainings are scheduled and completed.
  • Must reside in the Bay Area with the ability to attend our monthly team meeting and activities in Hayward.

Preferred

  • Bachelor’s degree in a related field.
  • Direct experience in home health or hospice operations, education, or quality/compliance.
  • Bilingual (English/Spanish or English/Tagalog) a plus.
