Role Summary
This role has full ownership of the settlement pipeline, taking loan files from conditional approval through to funded settlement and post-settlement closure. Day to day you will track outstanding conditions, coordinate with lenders, solicitors, conveyancers, and valuers, and ensure every file meets its deadlines without errors. You will work across CRM systems, lender portals, and Microsoft Office or Google Workspace to keep records accurate and pipelines moving. The role suits someone who thrives in a fast-paced, file-heavy environment and wants to grow as a settlements specialist within a structured broking practice.
Key Responsibilities
  • Manage loan files from conditional approval through to settlement, tracking all outstanding conditions and deadlines

  • Coordinate with lenders, solicitors and conveyancers, and valuers to ensure timely completion of all settlement requirements

  • Order and follow up on property valuations, title searches, and insurance documentation

  • Verify that all settlement conditions are satisfied and documentation is accurate before booking

  • Book settlements and confirm details with all relevant parties

  • Escalate and resolve settlement delays, discrepancies, and issues as they arise

  • Maintain and update CRM records, pipeline trackers, and settlement logs

  • Support post-settlement administration including discharge processing and file closure

What We Are Looking For
  • Prior experience in an Australian mortgage broking settlement or loan processing role is required

  • Strong working knowledge of the Australian settlement process, lender requirements, and documentation standards

  • Familiarity with lender portals, trust accounting requirements, and broker compliance frameworks

  • Proficiency in CRM systems, Microsoft Office, and Google Workspace

  • MyCRM and other LMG aggregator tools are highly regarded.

  • Ability to independently manage a high volume of files with competing deadlines

  • Strong attention to detail and composure under pressure

  • Clear written and verbal communication skills for liaising with lenders, solicitors, and internal teams

Requirements
  • Stable work-from-home setup (reliable internet, laptop/desktop, quiet workspace)

  • Proactive attitude, able to follow up lenders, solicitors, and third parties without being prompted

  • Ability to work Australian business hours and meet time-sensitive settlement deadlines
