The Opportunity

We are looking for a first-class Senior Legal Practice Assistant to provide white glove support service to our firm’s partners and attorneys. By gaining a deep understanding of each partner’s practice, you will support them to execute on client matters, run the administrative engine behind the work, coordinate with stakeholders across the firm, and help ensure our business and our clients’ goals are achieved. 

We are looking for someone who is curious and practical in using AI and technology to improve day-to-day work, streamline processes and support attorneys more efficiently. 

This is a broad role for someone who wants more than calendar management. Alongside core executive support, you will work on documents, matter coordination, process and project management. As we scale, we are adding elite talent to this team. 

What You’ll Do 

• The partner’s day. Complex, multi-time-zone diaries: schedule, protect, and make the call when two things collide. Inboxes with judgment, not just volume: triage, surface, draft the first pass, chase what has gone quiet. Meeting packs, briefing notes, agendas, and the follow-up actions afterwards. Travel end to end, including the changes in flight and the reconciliation afterwards.
• The client-facing paperwork. Engagement letters prepared, circulated and tracked through to signature and return. Client and prospect correspondence written to a standard that reflects who we act for. Contact records and CRM entries that are accurate because you keep them that way.
• The documents. Formatting, versioning, comparison, engrossing and final proofing to firm standard. Filing that means anyone can find the document, not just you.
• Time and billing, to the flagging line. Prompting and chasing time capture. Flagging billable items, disbursements and expenses to Finance for processing. You need enough billing literacy to spot what matters. You will not be processing it.
• How you work. Anything belonging to the wider function goes through the Legal Operations intake channel rather than into your own list. You work to the team’s published response standards. You reach for AI first and tell us when you have found a faster way.

What We’re Looking For

• 5+ years supporting partners, senior fee earners or C-suite executives, ideally in law or professional services.

• Fluent English, verbal and written 

• Strong proficiency with MS Office, Aderant or similar practice management software, PowerBI or similar data analytics dashboards, Claude, CoPilot or similar AI tools, Asana or similar project management tools 

• Excellent organizational and project management skills; able to carry several workstreams without dropping detail 

• Ability to remain poised under pressure, multitask, and prioritize effectively 

• Strong team orientation and a preference for collaboration 

• Experience with a practice management, billing, time-capture or document management system — or evidence you have learned a comparable system quickly
