About the Role

We are seeking a highly organised, proactive, and trusted Executive Assistant to the CEO to support the day-to-day operations of the executive office. This role sits at the centre of the business and requires exceptional judgment, discretion, and the ability to anticipate needs in a fast moving, high growth environment.

In addition to primary support for the CEO, this role will provide secondary support to other members of the C-suite, helping ensure alignment, coordination, and smooth execution across the leadership team.

Role Description
  • Manage the CEO’s calendar, scheduling, and meeting preparation with precision and foresight
  • Act as a gatekeeper for inbound communication, prioritising and routing effectively
  • Coordinate executive meetings, board interactions, and key external engagements
  • Prepare materials, agendas, and follow-ups for meetings and reviews
  • Track action items and ensure timely execution across stakeholders
  • Provide secondary calendar, scheduling, and coordination support to other C-suite leaders as needed
  • Support cross-functional executive coordination and leadership team logistics
  • Handle sensitive information with absolute confidentiality and discretion
  • Support travel planning, logistics, and expense management
  • Assist with ad hoc projects and operational tasks as requested


Requirements
  • 5+ years of experience supporting a CEO or C-suite executive in a high-growth startup or technology-driven environment
  • Previous exposure to board meetings, investor relations, or executive-level communications
  • Strong ability to manage multiple executive calendars and shifting priorities with discretion and efficiency
  • Comfort working with confidential, sensitive, and time-critical information
  • Exceptional written and verbal communication skills
  • High degree of emotional intelligence, professionalism, and judgment
  • Ability to anticipate needs and operate with a high level of autonomy
  • Experience coordinating across global teams and time zones
  • Strong organisational skills with a track record of improving processes and workflows
  • Proficiency with modern productivity tools (Google Workspace, Slack, Zoom, calendar systems)Based in or near New York, or able to align closely with the CEO’s schedule


Preferred Requirements
  • Experience in venture backed startups or scaling organisations
  • Background in operations, project management, or chief-of-staff-style support
  • Familiarity with tech, crypto, or Web3 environments
  • Willingness to grow into expanded responsibilities over time
