Sales Operations Specialist (Multi-Industry)

Remote · Monday–Friday, 9am–6pm (Pacific, Central, or Eastern) · $1,250/month for the first 90 days, then $1,500/month

One thing to know upfront: some of the roles we hire for have a client ready to go right away. Others don't yet. Either way, you go through the same process. If there's no client yet, we're building a group of people we've already gotten to know, so we can move fast the moment one shows up. Your recruiter will tell you plainly which situation applies to you.

What this job actually is

Somebody has to keep a sales pipeline honest. Leads come in, deals move through stages, notes get written, follow-ups happen or they don't. That somebody is you. You're not closing deals. You're making sure nothing important falls through the cracks and nobody's guessing what state a deal is really in.

This shows up differently depending on the business. Sometimes it's a CRM full of B2B deals. Sometimes it's a job board full of quotes and site visits. The tools change. What doesn't change: you own the data, you chase the follow-ups, and you tell the truth about a deal even when the truth is inconvenient.

What you'll actually do

  • Keep the CRM (or job-management system) accurate. Statuses, notes, next steps, all of it reflecting what's real
  • Follow up on open opportunities on a real schedule, not when you remember
  • Help put together proposals, quotes, or job paperwork when the role calls for it
  • Book calls, appointments, or site visits, and confirm them before they happen
  • Say something the moment a deal looks stuck or a number looks wrong, instead of hoping it sorts itself out

Requirements

What we're actually looking for

  • 2+ years doing something like this: inside sales, dispatch, service coordination, estimating support, or general sales/office ops
  • Real hands-on time in a CRM or job-management tool: Salesforce, HubSpot, Pipedrive, Zoho, ServiceTitan, Jobber, Housecall Pro, Buildertrend, or similar
  • Comfortable enough in Excel or Google Sheets to use a pivot table without googling it
  • You can point to a real week where you handled a lot of follow-ups (50+) or a lot of quotes (20+), and explain how you kept track
  • Your written and spoken English is genuinely fluent. Not "good enough," fluent
  • Experience with US-based clients or companies is a plus, not a requirement

  • Internet that doesn't drop calls
  • You show up on time. Every time
  • If something's going wrong, you say so before it becomes a bigger problem, not after
  • You do what you said you'd do without someone reminding you

How the process actually works

  1. We read your CV. Not a keyword scan, an actual read. If it's clearly AI-generated with nothing specific in it, that's usually obvious and it doesn't help you.
  2. A short intro video. Two minutes of you talking is worth more than a page of text. We're checking if you're clear and comfortable on camera, your English skills, and your professional setup (camera, lighting, sound...)
  3. A call with a recruiter, about 30 minutes. We'll ask you to walk us through something real you've done, so have a specific example ready instead of a general answer. This is also when your recruiter will tell you clearly whether there's a client waiting for this role or not.
  4. A couple of short take-home exercises. Nothing sneaky, nothing that takes your whole evening.
  5. A reference check. We'll ask for someone who actually managed or worked closely with you, not a character reference.
  6. If a client's ready: one interview with them. They make the final call on who they hire, but you don't repeat anything you've already done here.

Here's the honest part: sometimes when you finish this process, there's no job waiting yet. That's not a runaround, it's how we work. We'd rather spend the time getting to know good people properly now, so that when a client does come looking for someone like you, we already know you're ready, instead of starting the search from scratch. If that's your situation, you won't be left guessing. We'll tell you where things stand, including when the honest answer is "nothing new yet." And if you take another job while you're waiting, that's completely fine, just tell us, and we'll pick things back up whenever the timing works for you.

What to actually expect from us

If you make it to an interview, you'll get real, specific feedback about how it went either way, not a copy-paste line. If your CV doesn't move forward past the application stage, you'll still hear back, but it'll be a quick automated note rather than a personal one.
