Our client is a growing trade show exhibit and display company specializing in turnkey rentals, custom exhibits, and e-commerce display solutions for brands across the United States. They help businesses stand out at events through strong design, seamless execution, and reliable operational support.

Role Overview

The Sales & Operations Coordinator will support the day-to-day coordination of inbound leads, proposals, project timelines, CRM organization, vendor communication, and backend operational tasks across the business. The Sales & Operations Coordinator will work closely with leadership to help keep projects moving, maintain organization inside CRM systems, support inbound lead follow-up, and assist with ongoing website and operational updates. This role is ideal for someone who is highly organized, detail-oriented, proactive, and comfortable managing multiple responsibilities across sales support, operations, project coordination, and administrative functions. This is a full-time role with strong potential to grow into a larger operations-focused position over time.

Fully Remote | 9AM - 5PM PST

Key Responsibilities

Sales Support & CRM Coordination

  • Prepare quotes and proposals using provided templates and direction.

  • Update and manage deals, contacts, and pipelines inside HubSpot.

  • Assist with inbound lead follow-up and communication.

  • Maintain accurate and organized CRM data.

  • Pull relevant examples, images, and case studies for proposals.

  • Assist with organizing and importing lead lists from trade shows and inbound inquiries.

Operations & Project Coordination

  • Track project timelines, production schedules, and operational deadlines.

  • Coordinate with vendors regarding production, shipping, and logistics.

  • Monitor shipment timelines and confirm delivery updates.

  • Maintain organized project checklists and internal tracking systems.

  • Help ensure projects stay organized and on schedule.

Website & Marketing Support

  • Upload and update content inside Shopify.

  • Assist with website content formatting and backend updates.

  • Support AI-generated content and image creation using provided guidelines.

  • Assist with content coordination and backend marketing support tasks.

Administrative & Organizational Support

  • Organize files, folders, templates, and internal documentation.

  • Assist with SOP creation and process organization.

  • Provide general administrative and operational support across the business.

Qualifications Experience

  • 1-3 years of experience supporting sales, operations, project coordination, or administrative functions.

  • Experience using CRM systems such as HubSpot is strongly preferred.

  • Familiarity with Shopify or website backend management is a plus.
