Safety Coordinator

Our client is a US multi-brand residential and commercial roofing and exteriors group that operates across more than a dozen states through a family of regional brands, with a large share of its work driven by storm damage restoration and insurance claims. Behind every crew that mobilizes there is a stack of paperwork that has to be right: an executed subcontract, a current license, a W-9, and a certificate of insurance that carries the correct coverage types, limits, additional insured status, and waiver of subrogation. You would own that stack. You would also keep the written safety program current, run training assignments and recertification tracking, and open incident files the same day they are reported so the Risk and Safety Administrator can act on them.

Read this part carefully, because it defines the job. This is a records and process-driven role. It does not involve site visits, field supervision, or any direction of subcontractor personnel. You are not a field safety officer, and you will not be inspecting roofs. If you are an HSE or site safety practitioner looking for field work, this is not that role. If you are a compliance, contract, or insurance administrator who is precise with documents and deadlines, it is.

The work matters because of what happens when it slips. A certificate that lapses while a crew is still on a job is an uninsured loss. A training record that was never chased is a finding waiting to happen. An incident file that sits overnight is a claim that starts late. This is a full-time remote role in US Eastern business hours, reporting to the Risk and Safety Administrator, with two to three years of records-driven administrative experience required.

Key Responsibilities

Subcontractor Agreement Administration

• Prepare and issue subcontract agreements, addenda, and renewals for signature, and track execution to completion
• Maintain the subcontractor agreement repository, including effective dates, renewal dates, and amendment history
• Process subcontractor onboarding packets and verify that executed agreements, licensing, W-9s, and required insurance are complete before approval
• Maintain the subcontractor documentation database and keep the status current
• Route non-standard terms or requested changes to the Risk and Safety Administrator for review

Insurance Administration

• Track certificates of insurance, monitor expirations, issue renewal requests, and escalate lapses
• Verify that certificates reflect the required coverage types, limits, additional insured status, and waiver of subrogation endorsements
• Maintain policy and certificate files for company lines of coverage
• Support renewal and premium audit cycles by gathering and organizing requested documentation
• Serve as the administrative point of contact with brokers and carriers on routine documentation requests

Safety Program Administration

• Maintain and format written safety program documents, policies, and training materials, and distribute updates
• Assign, track, and follow up on safety training completion for employees, including recertification scheduling
• Coordinate scheduling and logistics for remote training sessions
• Maintain OSHA recordkeeping entries and posting schedules under the direction of the Risk and Safety Administrator
• Maintain safety files, inspection documentation, and corrective action logs

Incident, Claims, and Reporting Support

• Perform intake on reported incidents, open the file, gather statements and documentation, and route to the Risk and Safety Administrator the same day
• Track corrective actions and follow up to closure
• Support workers’ compensation and claims administration, including gathering records requested by carriers and maintaining claim files
• Compile recurring reports and maintain safety and compliance dashboards
• Respond to routine documentation requests from Operations, Finance, and customers

Requirements

• Minimum two to three years in compliance administration, insurance certificate management, contract administration, contractor onboarding, HR administration, or similar records-driven work
• Experience preparing, routing, and tracking agreements and contract documentation
• High accuracy with document management and deadline tracking
• Strong written communication for vendor, broker, and subcontractor follow-up
• Proficiency with spreadsheets, document management systems, e-signature platforms, and database entry
• Ability to work independently in a fully remote role
• Availability in US Eastern business hours, which is an overnight schedule in the Philippines

Preferred Qualifications

• Construction, roofing, or trades industry background
• Experience with certificate of insurance tracking or contractor compliance software
• Bilingual English and Spanish
• Familiarity with OSHA recordkeeping basics
• Experience supporting workers’ compensation or insurance claims files
• Experience running training assignment and recertification tracking for a distributed workforce

Tools & Software

• Spreadsheets—expiry and deadline tracking, status reporting, recurring compliance dashboards (primary working surface)
• Document management systems—agreement repository, certificate files, safety and claim files
• E-signature platforms—preparing, routing, and tracking agreements through to full execution
• Database entry—maintaining the subcontractor documentation database and keeping status current
• Certificate of insurance tracking or contractor compliance software (preferred)
• Microsoft Teams and OneDrive—communication and file sharing with Remote Raven
