The Project Specialist manages the communication and adoption of staff initiatives, focusing on employee engagement and high-visibility presentations. Position Overview
The Project Specialist drives how UBIF staff initiatives are communicated, experienced, and adopted across the organization. Operating in a high-visibility, high-presence capacity, this role owns the employee-facing side of key programs—presenting updates and results at all-hands and field meetings, designing and communicating incentive programs, and partnering with functional leaders to craft content that resonates with frontline employees and managers. With AI tools handling production tasks (drafting, formatting, tracking), the Specialist focuses on influence, engagement, and message quality, translating complex program outcomes into clear, motivating narratives and building trusted cross-functional relationships. This hourly role requires strong stage presence, impeccable writing, and the ability to align stakeholders to deliver timely, accurate, and compelling communications.
Key Responsibilities
- Present program updates, performance results, and initiative milestones at all-hands, regional calls, and field leader forums; manage live Q&A with credibility.
- Develop and deliver content that engages frontline teams and managers; read the room and adjust messaging in real time.
- Align messaging with senior leaders prior to major presentations to ensure clarity and consistency.
- Design incentive structures with Operations, Finance, and HR; ensure programs are motivating, equitable, and achievable.
- Own incentive communications from launch through close—craft narratives, monitor participation and sentiment, recommend adjustments, and translate results into recognition moments.
- Partner with Retail Operations, HR, Finance, and Product to develop meeting content that balances functional priorities with broader employee needs.
- Facilitate content-planning sessions; synthesize competing inputs into coherent agendas and narratives.
- Serve as the connective tissue between program teams and employees; manage partner relationships with professionalism and reliability.
- Oversee logistics and coordination for cross-functional programs and events—direct AI-generated drafts and tracking tools to accelerate delivery.
- Represent programs in cross-functional forums; communicate status, risks, and escalations with appropriate urgency.
- Evaluate and provide feedback on communications and training materials from partners or vendors.
- Support annual planning by providing program cost inputs and narrative context.
Education and Experience
- Bachelor's degree or equivalent work experience.
- 2+ years of experience in internal communications, program management, employee engagement, or related field.
- Proven experience presenting to large or mixed audiences; confident and credible in live environments.
- Strong written communication skills tailored to frontline employee audiences.
- Experience collaborating across multiple functional partners to create shared content or communications.
- Preferred: Experience designing or communicating employee incentive or recognition programs.
- Preferred: Background in retail operations, field communications, or frontline workforce engagement.
- Preferred: Proficiency with AI tools for content drafting, research, and production work.
- Preferred: PMP or equivalent project management certification.
