Project Manager

 

Context:

You would join a Centre of Excellence delivering AI solutions for a Romanian public-sector client, working within the client's dedicated data and AI environment.

The work follows a structured lifecycle, from data access and feasibility assessment through solution build, pilot deployment and handover for scale-up. Multiple use cases are typically in progress at the same time, each at a different stage and involving different institutional stakeholders.

 

Main Mission:

You keep the Centre running and you keep the client informed. The role combines two equally important dimensions: operational coordination and stakeholder management.

The first is operational: knowing the status of every use case, every open action and every dependency, and chasing them to closure. Nothing in this programme fails dramatically. It fails because a data extract arrived three weeks late, a sign-off sat in someone's inbox, and nobody noticed until the gate.

The second is relational. You are the day-to-day contact for institutional counterparts — the person who books the sessions, confirms who is coming, chases the missing input, and calls when something is slipping. Many stakeholders with different priorities and no reporting line means most progress depends on someone maintaining the relationship between formal milestones.

Your job is to make sure the decisions happen on time, with the right people in the room, and that everyone who needs to know the outcome hears it promptly.

 

What You'll Own?

 

Keep the work visible

  • Maintain the action log across every active use case: what is open, who owns it, when it is due
  • Track each use case against its schedule and flag slippage before it becomes a missed date, not after
  • Run the weekly pipeline review — slot by slot, blockers, actions
  • Maintain the risk and issue register, and make sure risks get owners rather than just entries

 

Keep Stakeholders Aligned

 

  • Act as the standing point of contact for institutional business owners and their teams
  • Book and convene working sessions, gate boards and deep-dives; confirm attendance, circulate what people need beforehand
  • Chase late inputs, documents and sign-offs directly with the people who owe them
  • Call counterparts when something needs unblocking, and know which conversations warrant a call rather than an email

 

Manage Risks and Escalations

 

  • Notify the affected business owner and the sponsor as soon as a date moves, with the reason and the revised date
  • Escalate on a defined ladder — logged in week two, raised with the business owner in week four, taken to the sponsor by week eight — rather than waiting for a steering meeting
  • Produce the monthly progress update and the quarterly steering pack

Keep the Centre coordinated

  • Manage the meeting cadence so the team has one weekly review rather than four overlapping ones
  • Coordinate onboarding as the team grows, and the draw-down of surge capacity
  • Track dependencies between the Centre and the platform, governance and scaling functions

 

      What You'll Bring?

 

  • Several years running delivery in software projects, ideally where the work was technical and the client was institutional.
  • Fluent Romanian and advanced English
  • Persistence in driving actions to closure while maintaining strong stakeholder relationships
  • Comfort raising a problem early, including when the problem is that your own team is late
  • Working knowledge of a delivery tracking tool (eg Jira) and enough Excel to maintain a live plan
  • Judgement about what to escalate and what to absorb — escalating everything is as unhelpful as escalating nothing

Nice to have:

  • Public sector, defence or another environment with formal hierarchy and slow approvals
  • Familiarity with AI or data delivery — enough to follow a technical conversation, not to run one. The ideal candidate was involved in shipping AI solutions to production.
