LOCATION: This is a remote position but may require occasional travel to project sites, client locations, or company offices as business needs require.

Pay range: $30.00 - $40.00 per hour

ABOUT THE JOB

The Tepa Companies are seeking a Project Coordinator to provide project coordination support to project management and field teams. This role supports project execution by coordinating documentation, logistics, and communication across project management and field operations. This role also monitors equipment and vehicle assignments, processes supply requisition, and facilitates clear communication between field teams and office personnel to support compliance, scheduling, and operational alignment.

Job functions:

  • Maintain project records, including risk registers, issue logs, change control documents, and project correspondence
  • Organize and archive deliverables, contracts, approvals, drawings, and all project documentation in centralized systems
  • Track submittals, quality assurance/quality control (QA/QC) documents, safety documentation, compliance records, nondestructive examination/nondestructive testing (NDE/NDT) reports, coating logs, and inspection reports
  • Assist with preparing job books, quality binders, turnover packages, and field documentation (JHAs, drawings, daily plans, checklists)
  • Track project progress against key milestones and report deviations
  • Act as a liaison between project manager, field personnel, subcontractors, and clients
  • Send and track project correspondence
  • Support customer communication on schedule updates, document requests, or status reports
  • Facilitate internal information flow to ensure alignment across teams
  • Assist with QA/QC documentation
  • Track submittals, safety documentation, and compliance records
  • Support safety coordination:  Safety Data Sheet (SDS) files, pre-task plans, daily safety logs
  • Ensure personnel have the required training to perform required tasks
  • Perform duties of SSHO as required
  • Track NDE/NDT reports, coating logs, inspection reports (as relevant to the assigned industry)
  • Coordinate mobilization/demobilization requirements
  • Track equipment rentals and off-hire dates
  • Support the field with documentation needs (JHAs, drawings, daily plans, checklists)
  • Request vendor quotes and maintain price comparisons
  • Issue purchase orders and track deliveries
  • Follow up on material status, backorders, and substitutions
  • Verify packing slips, receipts, and delivery documentation
  • Report status and updates verbally and in written form to management
  • Support safety coordination by maintaining SDS files, pre-task plans, daily safety logs, and other required compliance documentation
  • Assist with monitoring budgets by tracking expenditures and processing invoices
  • Identify, log, and escalate risks or issues
  • Coordinate efforts within the team and with outside vendors efficiently
  • Support collaboration between departments, ensuring tasks align with project goals
  • Coordinate vendor and contractor activities, ensuring compliance with timelines and standard

WHAT WE’RE LOOKING FOR

  • High school or GED 
  • 5 years of experience in construction, industrial services, or project coordination roles, or related field experience
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines simultaneously
  • Fluent in the English language
  • Proficiency in oral and written communication
  • Ability to work independently with limited oversight while supporting a larger team
  • Ability to thrive in a fast-paced, changing project environment
  • Familiarity with safety documentation (SDS, JHAs, safety logs) and regulatory requirements
  • Excellent attention to detail and accuracy in documentation
  • Experience coordinating vendors, subcontractors, or equipment rentals
  • Must be able to pass a background check and drug screen required to access US military installations
  • Valid driver’s license; ability to travel to project sites as needed
