We are seeking a detailed oriented Project Coordinator to manage, track, and support the life-cycle of real estate and right-of-way infrastructure projects. The ideal candidate will coordinate cross-departmental tasks, ensure quality control of project documents, and maintain accurate tracking systems to ensure seamless project delivery. This role requires a balance of behind-the-scenes organization, proactive tracking, and excellent communication skills when working with managers, clients and engineers.



Location: Remote (Required to be located in one of the following areas: Sacramento, Fresno or Bay Area)



Primary Responsibilities

  • Project Status Reporting & Tracking: Prepare, update, and maintain project status reports. Partner with the Project Accountant to build custom client reports, monitor schedules, milestones, scope, and budgets, and flag risks directly to the Project Manager.
  • Database & File Infrastructure Management: Handle project data entries, monitor agent updates (milestones, documents), and establish standard Google Drive project folders using Master Templates.
  • Project Setup & Close-out: Audit client document templates, map out unassigned acquisition or relocation cases in tracking tools and collaborate with agents and PMs to successfully transfer final project files to the client.
  • Execute strict quality control reviews on project documents built by internal support teams, and coordinate with PMs for final high-level sign-offs.
  • Organize internal and external meetings, draft targeted agendas, distribute meeting minutes, and consistently follow up on open action items.
  • Manage trackers, process Task Orders (TO), coordinate monthly invoice reviews with accounting, and cross-verify completed deliverables against team time tracking.


Qualifications

  • Advanced excel skills are required.
  • Experience managing centralized data workflows.
  • Proficiency in Google Workspace (Google Drive file structuring) and Microsoft Office Suite.
  • Background working directly with project accountants, engineering teams, or right-of-way field agents is highly preferred.
  • Highly organized with close attention to detail and strong organizational skills.
  • Direct, respectful, and responsive communication style with strong written skills.
  • Kindly assertive approach to keeping team members accountable and driving task execution.
  • Exceptional time management skills with a proven ability to independently manage deadlines across multiple projects.

Experience: 

  • 3+ years of experience in project coordination or legal/engineering administrative support.
