Summary
The Project Coordinating Manager position manages the daily operations of the Project Coordinating Department as well as acting as the liaison between the Project Coordinators, between clients and field technicians. The Project Coordinating Manager is responsible for managing projects, ensuring field projects are scheduled and completed on time, that all clearance verbal results are provided accurately to clients.
In addition, the Project Coordinating Manager is available to field all client questions, go over results, provide consulting advice, provide pricing and proposals, and sell our services, as well as field technician questions, laboratory analysis questions, providing pricing, administrative and/or billing stions. In addition, the position manages and oversees the day-to-day operations within the Field Dept. and prioritizes projects.
Duties & Responsibilities
1. Manage all aspects and employees of the company’s Project Coordinating Department and Field Tech Department
2. Attend weekly report meetings with the Project Coordinating Department.
3. As a Department Head, your responsibilities may include working outside normal business hours from time to time (including Saturdays) to meet operational deadlines
4. Effectively communicate, multi-task and manage large range of projects
5. Cross-training of employees to facilitate functional redundancies across project duties and responsibilities
6. Develop and oversee division of labor within the Project Coordinating Department and Field Tech Department
7. Direct and manage employee’s schedules, duties, roles and maintain a highly functioning office on a Monday-Saturday schedule
8. Work efficiently and quickly under high stress/intense situations on complex problems/projects and provide resolutions to challenging situations
9. Direct and manage a fast-paced office, explain tasks and provide direction on projects 10. Schedule projects, coordinate technicians, provide client updates and results and ensure projects are completed
Skills
1. Proficient in Microsoft Word, Excel, PowerPoint
2. Become proficient in company databases, project management systems and third-party software applications in use by the company
3. Excellent verbal and communication skills, personable and client service oriented 4. Strong-multi-tasking skills, with ability to simultaneously manage various projects and communicate with employees, clients, laboratories, homeowners, etc.
5. The ability to manage employee's schedules, workload, assess employee's
strengths/weaknesses, and delegate office functions accordingly
6. The ability to write and format lab reports, preparation of all reporting tables, and training other team-members in the company reporting system and production of company deliverables
7. Capable of training, reviewing and critiquing deliverables (reports, emails, invoices, etc.) and approving work prior to submittal to clients
8. Flexible, in regards to, changing needs and demands throughout each day to meet goals and deadlines, ensure clients are satisfied and projects are completed
9. Capable of working efficiently and quickly under high stress/pressure situations 10. Ability to direct and manage a fast-paced office, explain tasks and provide direction on projects
11. Ability to understand and explain the technical/science side of the industry and assess, review, interpret and provide analytical results to client and team members
12. Capable of directing various departments and prioritizing daily needs and projects 13. Extremely detail oriented, accurate reporting and fast typing skills
Qualifications
1. B.A. or B.S. from 4-year University
2. Minimum of 2-years’ experience working within the Environmental or associated industry 3. Certifications in Asbestos, Lead, Industrial Hygiene are a plus (CAC, LI-RA, CMI) 4. Laboratory experience is a plus
