Overview

As the Post Sale Deed Conveyance Specialist, you are responsible for supporting deed conveyance activity after the foreclosure sale process is complete. This role focuses on preparing, reviewing, coordinating, and tracking conveyance deeds from the lender to HUD or VA, ensuring required documents are accurate, timely, compliant with agency, investor, state, and county requirements, and properly documented in company systems.

 

 

What you will do 

 

  • Manage assigned conveyance deed files from receipt of the post-sale request through deed execution, recording, and final completion
  • Prepare, order, review, and coordinate execution of lender-to-HUD and lender-to-VA conveyance deeds and related transfer documents
  • Review conveyance deeds and supporting documents for accuracy, completeness, vesting, legal description, execution requirements, agency requirements, and client/investor guidelines
  • Complete or obtain state, county, and municipality-specific recording forms, transfer tax forms, affidavits, exemptions, and other documentation required for HUD or VA conveyance
  • Calculate, verify, and document recording fees, transfer taxes, deed stamps, exemptions, and related costs by researching requirements and contacting county recording offices when needed
  • Track deed status, outstanding requirements, recording submissions, rejected recordings, and agency conveyance milestones to support timely completion
  • Coordinate with internal default servicing teams, deed vendors, title partners, county offices, and agency contacts to resolve deed, recording, documentation, title, or curative issues that may delay conveyance
  • Maintain accurate file notes, milestone updates, fee information, recording status, and document status in applicable company or client systems
  • Track and escalate delays, exceptions, rejected recordings, missing documents, fee discrepancies, agency issues, or title concerns to management and appropriate business partners
  • Respond to conveyance deed status inquiries from internal default servicing teams, clients, vendors, county offices, agency contacts, and other business partners in a timely and professional manner
  • Support compliance with client, investor, insurer, agency, state, county, and company requirements related to lender-to-HUD and lender-to-VA deed conveyance and recording timelines
  • Meet department production, quality, fee, and turn-time standards as established by management
  • Build and maintain effective working relationships with deed vendors, county contacts, agency contacts, clients, and internal stakeholders
  • Participate in department training, process improvement initiatives, and cross-training opportunities to support post-sale conveyance operations
  • Adhere to all company policies, procedures, confidentiality standards, and regulatory requirements
  • All other duties as assigned

 

 

What you will bring 

 

  • High school diploma or equivalent required; associate degree or related mortgage, legal, title, or real estate coursework preferred
  • 1+ year of experience in mortgage servicing, default servicing, post-sale conveyance, title, deed preparation, deed recording, agency conveyance, or related real estate operations preferred
  • Basic understanding of lender-to-HUD, lender-to-VA, post-sale conveyance, deed recording, title transfer, county recording, and agency documentation processes preferred
  • Ability to review legal descriptions, vesting, recording requirements, fees, agency requirements, and state/county-specific documentation with strong attention to detail
  • Strong organizational skills with the ability to manage a high-volume pipeline, prioritize deadlines, follow up on aging items, and escalate risks appropriately
  • Effective written and verbal communication skills with the ability to work professionally with vendors, county offices, agency contacts, clients, and internal teams
  • Proficient with Microsoft Office, email, document management, and data entry; experience with mortgage servicing, title, or default workflow systems preferred

For California, Colorado, and New York applicants, the pay range is $19hr - $23hr
