About the Role
I’m looking for a resourceful, organized Executive Assistant to work closely with me across a variety of business responsibilities and projects. This role combines administrative support, creative work, research, and hands-on help completing tasks.
My days move quickly, and I often shift between priorities. I need someone who can help capture ideas, organize next steps, and actively move the work forward. You might help create a social media post, prepare a one-page executive brief, coordinate a meeting, research a grant opportunity, or follow up on an outstanding request.
This is an entry-level opportunity for someone who learns quickly, communicates clearly, and takes pride in following through. You do not need experience in every responsibility listed. You do need strong organizational skills, curiosity, attention to detail, and a willingness to try unfamiliar tasks with guidance and feedback.
This position involves access to sensitive internal business information. The selected candidate must be comfortable signing a nondisclosure agreement (NDA) and maintaining confidentiality.

- Turn those ideas into clear tasks and help carry them through to completion.
- Research information, prepare drafts, create materials, and coordinate details.
- Maintain a running task list, track deadlines, and flag items that need my input.
- Follow up on outstanding requests and provide updates without waiting to be asked.
- Adapt as priorities change and communicate when you need clarification or direction.
Keep communication and scheduling organized
- Schedule meetings, manage calendar details, and coordinate availability.
- Make phone calls as needed to schedule appointments, follow up on requests, gather information, and coordinate details with contacts, vendors, and service providers.

Create content and executive materials
- Draft social media content, captions, and simple graphics.
- Help maintain a content calendar and schedule approved posts.
- Create executive one-pagers, meeting briefs, summaries, and simple presentations.
- Format and proofread documents for clarity, accuracy, and consistency.
- Use existing examples, templates, and feedback to learn the appropriate voice and style.
Support research, reporting, and applications
- Research potential partners, funding opportunities, vendors, and other business needs.
- Pull reports from available systems and organize findings into clear summaries.
- Help identify grant opportunities, review requirements, and track deadlines.
- Gather supporting documents and assist with drafting and preparing grant applications for review.
- Help prepare routine forms and applications using information provided.
- Track business renewals, filings, and other administrative deadlines.
Coordinate travel and administrative details
- Research flights, accommodations, and transportation, and make approved bookings.
- Prepare itineraries and keep travel details organized.
- Organize receipts, documents, contact information, and digital files.
- Help maintain project trackers and simple checklists for recurring tasks.
