Responsibilities
- Position Overview: We are seeking a proactive, driven Operations Virtual Assistant to join our operations team. In this role, you will work directly alongside our Team Lead to coordinate daily operations, managing cleaning staff, handling client communications, and overseeing schedules across London, with a primary focus on short-let (such as Airbnb checkouts), serviced apartments, and end-of-tenancy cleaning. This role is not for someone who just wants to clock hours. We are looking for an adaptable self-starter who thrives in a fast-paced environment, takes ownership under pressure, and wants to drive real operational impact. Key Responsibilities:
- Manage and monitor 150+ WhatsApp group chats with cleaners and clients (messaging mostly, calls)
- Assist with daily scheduling, help assign cleans across 100 daily bookings
- Troubleshoot on-the-ground issues: missing keys, late checkouts, linen delivery delays, guest complaints
- Coordinate with linen suppliers to ensure timely deliveries
- Update the Breezeway system with real-time job status and changes
- Escalate urgent issues to the operations team and management
- Identify process improvements and proactively suggest better ways of working
- Support peak season overflow and last-minute schedule changes
- Help track cleaner attendance and hours
Requirements
- Qualifications:
- Previous experience working with UK-based clients (understanding of UK culture, time zones, and business norms)
- Experience working with Airbnb, serviced apartments, or hotels.
- Strong written communication skills in English, clear, professional, and calm under pressure
- Excellent problem-solving ability, you don't just flag problems, you suggest solutions
- Ability to handle high-stress situations without getting flustered (clients can get frustrated, and you need to stay level-headed)
- Comfortable working independently in a fast-moving environment with shifting priorities
- Strong organizational skills and attention to detail Nice-to-Haves:
- Experience in the cleaning industry or hospitality/housekeeping sector
- Familiarity with Breezeway or similar property management/cleaning operations software
- Previous experience managing multiple communication channels (WhatsApp groups, email, etc.)
- Experience working with Filipino teams or in a cross-cultural remote environment
Work Arrangement
- Work Setup: Flexible Work Arrangement
- Work Hours: 9:00 AM UK time, 8-hour shift inclusive of a lunch break, with Saturday off
