We are seeking a proactive, organized, and highly communicative Operations & Client Services Coordinator to support daily business operations, client communication, account administration, and members of the executive team.
The ideal candidate communicates professionally, learns new technology quickly, exercises sound judgment, and takes ownership of responsibilities without requiring constant direction.
Key Responsibilities
Client Services
- Respond to client questions regarding billing, accounts, schedules, contracts, and services
- Follow up on delayed, declined, or failed payments
- Monitor upcoming contract renewals
- Coordinate internally when client concerns require action
- Escalate sensitive or unusual issues to leadership
Business Operations
- Review operational reports and identify items requiring follow-up
- Maintain accurate client, employee, billing, and operational records
- Track compensation changes, client credits, and important employee conversations
- Assist with time-tracking corrections and payroll preparation
- Identify missing information, inconsistencies, or potential problems
- Support recurring administrative processes and special projects
Technology Administration
- Create and maintain email addresses and user accounts
- Manage team access and Google Workspace groups
- Troubleshoot basic account and technology issues
- Maintain accurate information across company systems
- Learn and follow new software-based workflows
Executive Support
- Manage calendars, appointments, and meeting schedules
- Monitor and organize executive inboxes
- Identify and escalate urgent or time-sensitive messages
- Assist with drafting emails, research, and follow-up items
- Provide administrative support to members of the executive team
Required Qualifications
- Excellent written and verbal English
- Strong client service and professional communication skills
- Experience in operations, administration, executive support, or customer service
- Strong technology skills and the ability to learn new platforms quickly
- Proficiency with Google Workspace
- Excellent organization, time management, and attention to detail
- Ability to manage multiple priorities and work independently
- Good judgment and proactive problem-solving skills
- Ability to handle confidential information professionally
- Reliable availability and responsiveness Monday through Friday
Experience with billing, payroll, accounts receivable, remote teams, or service-based businesses is helpful but not required.
Schedule
This is a part-time position requiring 20–25 hours per week. Exact working hours may be flexible, but the successful candidate must maintain consistent weekday availability and reliable responsiveness Monday through Friday.
