Position Overview
We are looking for a highly organized, detail-oriented, and proactive Operations Associate who thrives in a fast-paced environment and enjoys solving problems, staying organized, and keeping things on track. In this role, you’ll play an important part in supporting the daily operations of the business by managing inventory, coordinating purchasing and logistics, maintaining accurate operational data, and partnering with cross-functional teams to ensure projects and processes run efficiently. You’ll have the opportunity to contribute to process improvements, support key operational initiatives, and help strengthen the systems and processes that enable the business to scale. You will report to the Operations Manager and work closely with cross-functional teams and external partners.
Responsibilities
- Support weekly EOH (end-on-hand) and sell-through updates and Slack channel announcements
- Help spot-check planning file formulas, catch errors, and flag stock-out risk and reorder points
- Support monthly/quarterly forecast reviews, new SKU setup, and syncing approved marketing promos
- Track order ETAs and help align timelines across teams.
- Own day-to-day contact for our global network of suppliers (China, Korea, USA), placing orders, and confirming delivery dates
- Track all assigned ClickUp tasks and ERP “Fulfil” POs; coordinate quotes and delivery with freight forwarders for importing products to the US and domestic carriers.
- Manage PO and Shipping process
- Manage vendor invoices and payment requests
- Partner closely with internal departments to drive task completion and maintain alignment on production timelines.
- Keep PO/Shipping status updated and current for cross-team visibility
- Continuously evaluate operational workflows to innovate, build, and improve standard operating procedures (SOPs) with Loom walkthroughs.
- Assist leadership and the OPS team with ad-hoc projects, administrative needs, and new business initiatives.
Qualifications
- 2+ years of experience in supply chain operations, inventory management, or data-heavy operational roles within a fast-paced e-commerce environment
- Advanced spreadsheet skills (Microsoft Office Suite and Google Suite).
- Highly comfortable managing large data sets, analyzing complex data and formulas, and maintaining data integrity.
- Experience coordinating with domestic and/or international suppliers/vendors, freight forwarders, and 3PL.
- Knowledgeable in project management such as ClickUp, Asana, Trello, Monday.com, and IMS/WMS/ERP tools such as Fulfil, NetSuite, Cin7, Sage, etc.
- A process-first mindset, follow SOPs closely, and improve them when you spot improvements.
- Strong administrative skills and proven reconciliation capabilities for addressing inventory discrepancies and resolving procurement issues.
- Demonstrate strong written and verbal communication skills to effectively collaborate with cross-functional teams, suppliers, warehouses, and logistics partners.
- Proven ability to skillfully coordinate with domestic/international suppliers, freight forwarders, international shipping, and navigate logistical challenges head-on.
- Capable of efficiently managing multiple tasks, shifting priorities, and maintaining alignment across leadership teams.
- Bonus: has used AI (Claude, Viktor, or similar) to help build spreadsheet formulas, simple automations, or documentation.
