About the Role
As a Bilingual Medical Virtual Assistant, you will help keep patient and administrative workflows organized from intake through documentation and follow-up. You will communicate with English- and Spanish-speaking patients, including patients referred by law firms, while coordinating appointments, referrals, medical records, and attorney requests.
You will also review and clean AI-generated medical notes, making this a strong opportunity for someone who combines healthcare experience with curiosity about emerging technology. This role offers meaningful autonomy and is best suited to someone who thinks critically, solves problems proactively, and can adapt as workflows evolve.
Responsibilities
- Manage patient intake and ensure demographic, insurance, referral, and case information is complete and accurate
- Schedule, confirm, and coordinate patient appointments while maintaining clear communication with patients and the clinical team
- Communicate professionally in English and Spanish with patients, law firm representatives, attorneys, and healthcare partners
- Support patients referred by law firms by tracking documentation, appointments, and required follow-up
- Review and clean AI-generated medical notes for clarity, formatting, completeness, and obvious inconsistencies before final review
- Prepare and coordinate medical referrals, ensuring supporting records and documentation are included
- Send requested medical documentation and case updates to attorneys through approved communication channels
- Maintain accurate, organized, and current patient records within the Electronic Health Records system
- Use Gmail, Google Drive, Google Chat, Google Meet, and other Google Workspace tools to manage communication and documentation
- Identify workflow gaps and recommend practical improvements that reduce errors, delays, or repetitive administrative work
Requirements
Must-Have:
- Full professional fluency in English and Spanish, both written and spoken
- Experience supporting a U.S. medical practice or healthcare provider
- Hands-on experience with patient scheduling, intake, referrals, and medical documentation
- Confidence using Electronic Health Records systems
- Strong computer skills and experience with Google Workspace, including Gmail, Drive, Chat, and Meet
- Excellent organization, written communication, and attention to detail
- Availability to work Monday through Friday during Pacific Standard Time business hours
Nice to Have:
- Experience supporting a neurology, personal injury, legal-medical, or specialist healthcare practice
- Experience communicating with attorneys, law firms, or patients involved in legal cases
- Familiarity with AI tools such as ChatGPT or Claude
- Experience reviewing AI-generated notes, transcripts, or clinical documentation
- A track record of improving administrative processes or creating more efficient workflows
