JOB DEFINITION:
The Medical Records and Health Information Specialist will be responsible for the on-site/virtual review, and operations of the organization's Health Information/Medical Records request fulfillment function.
 
EDUCATIONAL REQUIREMENTS:
Associates degree required. Bachelor's degree preferred.
 
EXPERIENCE REQUIRED:
•3+ years of relevant work experience in the health care field
•Experience with Electronic Medical Record systems
•Knowledge and experience with HIPAA compliance
•Microsoft Office Suite proficient with an emphasis on Microsoft Excel skills
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1.Ensure that all requests for records are prioritized, responded to and followed-up on to resolution
2.Assist in the protection of health information (PHI) relating to each patient including ensuring that protected health information is kept confidential and made available only to authorized personnel, including assuring compliance with federal HIPAA regulations, 42 CFR and NYS Privacy laws
3.Assist with monitoring/facilitating the Records Retention Policy and the procedure for filing inactive charts in storage
4.Audit electronic systems and provide reports for valid consents/releases of information within organizational systems under the guidance of the Compliance Officer
5.Follow up on electronic security related items as directed by the Compliance Officer including ensuring the documentation and process for any privacy breach is followed through on to resolution.
6.Assist in the review and updating of health information and privacy policies and procedures under the guidance of management and the Compliance Officer on a yearly basis or as needed
7.Assist with updating HIPAA related training as needed
8.Monitor the completion rates of HIPAA related training and follow up as needed to bring the organization into compliance
9.Coordinate review and update of forms on a yearly basis and as needed
10.Attend meetings including HIT, Quality Improvement and Compliance meetings as designated
11.Assist in developing and implementing processes that will allow the organization to fill medical records requests and issue consents electronically wherever possible.
12.Identify and implement quality improvement trainings and activities as part of professional development goals
13.Complete Quality Improvement Training during onboarding and participate in Quality Improvement refresher training as needed.

15.Adherence to all safety protocols and procedures to ensure a safe working environment for all employees. Demonstrate a commitment to maintaining a safe work environment by following established safety guidelines.

17.Other duties as assigned.
