We are seeking a highly skilled, energetic and well organized Medical Office Administrator with proven experience in medical administration and Electronic Medical Records (EMR) to join our team.
Position Overview
The Office Administrator plays a key role in ensuring the smooth day-to-day operations of the clinic. This individual will support healthcare providers, facilitate patient flow, and maintain accurate medical records using electronic medical record (EMR) systems.
Role Requirements
Manage front desk operations including patient check-in/check-out
Facilitate clinic patient flow
Escorting patients between reception, waiting and examination areas
Clinic room change over, cleaning and processing when required
Schedule and coordinate appointments efficiently
Maintain and update patient records using EMR systems
Handle incoming calls, emails, and patient inquiries professionally
Process billing, insurance claims, and payments (if applicable)
Ensure confidentiality and accuracy of all medical information
Coordinate referrals, lab requests, and follow-ups
Maintain office and clinic supplies and administrative systems
Support physicians, nurse practitioners and other clinical staff as needed
Other relevant duties as needed
Education, Qualifications and Requirements
Medical Office Administration diploma
3-5 years experience in a medical office or clinic supporting medical professionals
Strong proficiency with EMR system
Strong organizational and multitasking skills
Excellent communication and customer service abilities
High level of accuracy and attention to detail
Ability to maintain patient confidentiality (PHIA compliance)
Proficiency with Microsoft Office and general computer systems
Familiarity with medical terminology
Experience in a fast-paced clinic environment
Physical Requirements
Ability to sit or stand for extended periods while performing administrative tasks
Ability to use a computer and phone system for prolonged periods and perform repetitive tasks
Frequent reaching, bending, stooping, and light lifting associated with room preparation and supply stocking
Ability to lift, carry, push, or move supplies and equipment
