The Medical Licensing Specialist manages the end-to-end state medical licensing process for clinicians, including applications, renewals, and documentation. They serve as a primary point of contact for clinicians while coordinating with internal departments to ensure operational readiness and compliance.

The Medical Licensing Specialist serves as the centralized point of contact for clinician licensing activities. This role coordinates state medical license applications and renewals, supports clinicians through complex requirements, manages licensing fees and documentation, and partners with Recruiting, Credentialing, Scheduling, and Operations to accelerate clinician readiness and deployment. The position is expected to support both Travel Team and Engage clinicians, with additional support for market-employed clinicians as needed.
Essential Duties:
Licensing Management
- Prepare, complete, and submit state medical license applications accurately and on time.
- Coordinate Federation Credentials Verification Service (FCVS) and Interstate Medical Licensure Compact (IMLC) applications.
- Track application progress, communicate with licensing boards, and proactively resolve delays or missing requirements.
- Coordinate license renewals and monitor state-specific requirements and regulatory changes.
- Maintain accurate, confidential licensing records and supporting documentation.
Clinician Support
- Serve as the primary licensing concierge and guide clinicians through each stage of the process.
- Provide timely application status updates and clear instructions for outstanding action items.
- Coordinate professional references and obtain required supporting documentation.
- Support fingerprinting, notarization, continuing medical education, and other state requirements as needed.
- Build a responsive, service-oriented clinician experience that reduces onboarding delays and fallout.
Financial Administration
- Process approved licensing fee payments directly and maintain accurate transaction records.
- Coordinate reimbursement exceptions in accordance with company policy.
- Track licensing expenses and support budget monitoring and reporting.
Operations Partnership and Reporting
- Maintain an accurate licensing dashboard or tracker with status, deadlines, risks, and next actions.
- Report licensing status to Recruiting, Credentialing, Scheduling, and Operations partners.
- Forecast clinician deployment readiness and identify bottlenecks before they affect staffing.
- Develop and follow standardized workflows that improve onboarding consistency, operational efficiency, and Travel Team utilization.
- Protect confidential clinician information and follow applicable privacy, compliance, and organizational requirements.

Requirements
Education:
- High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare administration, business administration, or a related field preferred.
Experience:
- Experience in medical licensing, credentialing, provider enrollment, medical staff services, or healthcare administration preferred.
- Working knowledge of multi-state clinician licensing processes; familiarity with FCVS and IMLC strongly preferred.
