MARKETING & MEMBERSHIP SPECIALIST
Position Summary
The Marketing & Membership Specialist reports to the Director of Marketing & Communications, and works closely with Marketing, Communications, Membership, Meetings & Events and other teams across HL7. his role supports the growth of HL7’s membership community, drives attendance and engagement across conferences and events, develops and manages sponsorship opportunities, and strengthens the marketing systems, workflows, analytics, and reporting that support measurable growth. Success in your first year looks like this: membership acquisition and renewal campaigns run on a reliable calendar with clear conversion tracking; major events are supported by targeted campaigns that drives registrations; sponsorship opportunities are actively developed and managed to receive well-coordinated marketing support that delivers on their agreements; marketing workflows and audience segments improve campaign efficiency; and leadership has clear visibility into what is working, where prospects are dropping off, and where growth opportunities exist.
Membership Acquisition & Renewal Campaigns
- Execute multi-channel campaigns across email and digital platforms to drive member acquisition and retention.
- Build and maintain clean, segmented marketing lists in CRM and email platforms (e.g., MailChimp) by leveraging event and membership data.
- Run renewal and lapsed-member win-back campaigns on a dependable calendar and track response, engagement, and conversion throughout the process.
- Translate member benefits into compelling audience-specific campaign messaging and assets that speak to distinct audiences — providers, vendors, payers, government, and consultants.
- Track the membership funnel from inquiry to join, engagement, renewal and reactivation; identify drop-off points and recommend opportunities for improvement.
- Support testing and optimization of membership campaign messaging, timing, segmentation, and calls to action.
Conferences, Events & Working Group Meetings
- Plan and execute registration campaigns for HL7’s conferences, working group meetings, FHIR Connectathons, DevDays, and other events— from early-bird promotion through post-event follow-up.
- Build and maintain promotional timelines around event milestones, registration deadlines and early-bird dates.
- Coordinate event marketing across email, web, social channels, and other promotional outlets to drive attendance and support engagement goals.
- Provide execution support for presentation slides and related event materials for HL7 events following messaging direction from the Marketing & Communications Director and visual direction from the Design Director.
- Track registration performance against goals and provide post-event reporting and recommendations that can inform future campaigns.
- Coordinate with Meetings & Events staff to ensure marketing timelines, attendee communications, and sponsor-related activities remain aligned.
Sponsorships & Exhibitor Marketing
- Identify prospective sponsors whose audiences, goals and values align with HL7’s mission, programs and standards community.
- Conduct outreach to prospective sponsors — making initial contact, articulating the value of partnering with HL7, and building long-term relationships.
- Maintain an active sponsorship pipeline, including prospect status, outreach activity, follow-up dates, anticipated value, and renewal opportunities.
- Design meaningful, tiered sponsorship packages that offer compelling value and are structured to attract significant sponsorship investment.
- Build and maintain long-term sponsor relationships with a focus on renewal, retention, and increased engagement over time.
- Support the marketing and fulfillment of sponsorship and exhibitor agreements, ensuring sponsors receive the visibility and deliverables they’ve been promised.
- Manage sponsor and exhibitor assets, including logos, ads, listings, promotional copy, and recognition requirements — across event materials, web pages, and email campaigns.
- Maintain accurate records of sponsorship benefits and deadlines; fulfillment status, and renewal opportunities; keep promotional timelines in sync with the events calendar.
- Help develop sponsorship prospectus materials and promotional collateral that attract and retain sponsors; collaborate with leadership and internal stakeholders to refine sponsorship offerings based on market interest, sponsor feedback and organizational priorities.
Marketing Operations & Automation
- Build, maintain, and improve campaign workflows in HubSpot, MailChimp, PropFuel, and other marketing platforms.
- Develop automated email sequences and nurture campaigns supporting membership, events, sponsorships, and other organizational priorities.
- Coordinate campaign setup, audience segmentation, list management, testing, scheduling, and quality assurance.
- Maintain clean, accurate audience data across marketing systems and help establish consistent processes for list management and campaign execution.
- Identify opportunities to automate repetitive marketing tasks and improve efficiency across campaigns.
- Support lead tracking and follow-up processes to ensure membership, event, sponsorship, and other prospects receive timely and relevant communications.
- Collaborate with the Design Director on technical implementation needs involving forms, workflows, landing pages, and other digital campaign components.
Digital & Social Media Channel Management
- Manage the day-to-day social media calendar: draft, schedule, and publish content that drives membership and event conversions.
- Coordinate website content updates with the Design Director and communications staff to ensure membership, event, and sponsorship information remains accurate and aligned with active campaigns.
- Produce and adapt digital assets — graphics, email templates, short videos — including resizing and versioning pre-approved Canva templates in line with the Design Director’s visual identity standards.
- Build and send marketing emails and campaigns in HubSpot, MailChimp, Propfuel, and other platforms as needed.
Analytics & Reporting
- Maintain dashboards and reporting for email, web, social, and campaign performance using tools like Google Analytics, Fonteva, and platform-native reporting tools.
- Leverage Fonteva and other systems to gather, analyze, and report membership, registration, event and sponsorship data. Identify trends, conversion gaps, and areas of opportunity and translate findings into actionable recommendations.
- Track performance across marketing funnels; Deliver regular performance reports that clearly communicate what is working, what should be adjusted, and where additional opportunities exist.
- Collaborate with the Director of Marketing & Communications and other staff to establish campaign benchmarks, goals, and performance measures.
Required Qualifications and Experience
- 2–5 years of experience in a marketing role with hands-on campaign execution; association, nonprofit, or healthcare experience is a plus.
- Experience supporting events, conferences, or membership programs is a plus.
- Bachelor’s degree in marketing, communications, business, or a related field — or equivalent practical experience.
- Working proficiency with marketing tools: Canva, email marketing/automation platforms (e.g., HubSpot, MailChimp, Propfuel, or similar), CRM/AMS systems (e.g., Fonteva), social media schedulers, and Google Analytics.
- A marketer’s mindset — you think in audiences, funnels, and conversions, and you measure what you do.
- Strong copywriting skills — you can produce a crisp email, social post, or landing page with minimal oversight.
- High attention to detail and proven follow-through across multiple simultaneous campaigns and deadlines.
- Comfortable with data — building reports, spotting trends, and turning numbers into recommendations.
- Self-starter who figures things out, proposes solutions, and takes initiative.
