Veta Virtual is hiring a Legal Intake Specialist for a busy law firm in Virginia specializing in family law, criminal defense, and estate planning. This is a client-facing, conversion-driven role for someone warm, professional, and skilled at turning an inbound call into a booked consultation β with real sales instinct, not just customer service.
π Your Role:
As a Legal Intake Specialist, you will be the first voice potential clients hear when they reach out to the firm β responsible for handling inbound calls, qualifying leads, booking consultations, and completing intake documentation in Lawmatics with accuracy and care. Your goal is to convert qualified callers into booked consultations while ensuring every person who contacts the firm feels heard, respected, and well-served β regardless of whether they become a client. Your day-to-day will involve:
- Answering inbound calls from potential clients β listening actively, responding with empathy and professionalism, and creating a positive first impression that reflects the firm's values.
- Qualifying leads by asking the right questions β understanding the caller's situation, assessing whether they are a good fit for the firm's services, and making a confident, informed booking decision without wasting the attorney's time on poor-fit consultations.
- Booking consultation appointments β working toward a target of 15 booked consultations per week and earning performance bonuses tied directly to your conversion rate.
- Completing intake documentation accurately in Lawmatics β capturing all required information, filling out intake forms correctly, and ensuring every record is complete and current before the consultation takes place.
- Following up with potential clients as needed β sending reminders, answering pre-consultation questions, and keeping leads warm until their appointment is confirmed.
- Participating in weekly call review sessions with the firm's consultation specialist β listening to recorded calls, receiving coaching feedback, and continuously improving your intake and conversion approach.
- Handling all client interactions with the highest level of professionalism and discretion β callers are often in stressful personal situations and how you treat them matters enormously.

What You'll Need:
- 3β5 years of legal intake, legal administrative, or law firm client-facing experience β you know how law firms operate and represent them professionally on every call.
- Lawmatics or similar legal CRM experience β comfortable navigating intake workflows and completing forms accurately.
- Genuine sales instinct β you know the difference between customer service and consultative selling and can guide a hesitant caller toward booking naturally.
- Exceptional verbal English β warm, clear, confident, and professional with every caller regardless of their situation.
- Reliable, detail-oriented, and self-motivated β you show up, do the work, and hold yourself accountable without being managed closely.
- Comfortable with weekly booking targets and performance-based bonus structures.
- To be considered for this role, you must be currently based in Latin America (LATAM) or Europe.
