As an IT Operations & Systems Manager, you will become the first dedicated owner of internal IT operations for a bootstrapped, profitable performance-marketing holding company that builds and operates its own consumer brands. Operating fully remotely with an asynchronous, written-first culture across 20+ countries, you will build a scalable workplace-technology function from the ground up.

This is a hands-on operations role requiring strong technical literacy and end-to-end ownership across the complete employee IT lifecycle. Rather than managing infrastructure or setting enterprise IT strategy, you will take direct responsibility for device procurement, MDM deployment, access provisioning, SaaS license tracking, offboarding, and daily IT support.

Accountability:

As an IT Operations & Systems Manager, your success will be defined by your ability to build a secure, zero-touch IT environment, maintain complete inventory accuracy, and ensure seamless Day-1 onboarding and secure offboarding across a distributed workforce. 

Here’s how you’ll make an impact:

Device & Endpoint Lifecycle Management

• Own laptop and equipment purchasing, deployment, and global vendor relationships.
• Coordinate international shipping, delivery, repairs, replacements, and secure equipment returns.
• Register Mac fleets through Apple Business Manager and manage MDM enrollment, security policies, FileVault, patching, screen-lock, and standard software configurations.
• Maintain a complete hardware inventory by employee, serial number, location, and operational status.
• Lead the first major project: completing zero-touch Mac deployment so new hires open a fresh device with all required applications and security controls ready to go.

Identity, Access & Security Governance

• Administer Google Workspace, Slack, Notion, password management systems, and 40+ internal workplace tools.
• Provision and deactivate employee accounts, assigning appropriate roles, groups, shared accounts, and permission levels.
• Maintain MFA, SSO, and secure access controls while conducting regular access reviews to remove unnecessary permissions.
• Question access requests thoughtfully to protect company security rather than executing every request blindly.
• Serve as the sole internal contact for daily IT alerts, triaging and prioritizing security-sensitive incidents independently.

Employee Onboarding & Offboarding Ownership

• Own end-to-end IT onboarding by shipping configured equipment pre-start, setting up accounts, provisioning role-specific access, and confirming Day-1 readiness.
• Execute immediate access revocation, account deactivation, and secure data/ownership transfers during employee offboarding.
• Ensure complete device recovery, data wiping, and pristine record-keeping so no equipment or account access falls through the cracks.
• Continuously refine and document onboarding and offboarding SOPs for operational efficiency.

SaaS Inventory, Vendors & IT Support

• Maintain comprehensive inventories of software subscriptions, vendor details, license utilization, costs, renewal dates, and admin privileges.
• Identify unused licenses or duplicate tools to optimize software costs and give leadership full visibility into upcoming renewals and risks.
• Build clear self-service documentation and repeatable SOPs to eliminate repeat technical support inquiries.
• Troubleshoot daily authentication, device, and SaaS issues independently, leveraging AI tools to accelerate research, scripting, and documentation.

Colleagues

You will report directly to the People Operations Manager and work closely with colleagues across People Operations, Business Operations, hiring managers, and global remote employees, as well as external device and software vendors. At Oceans, you’ll also receive guidance and support from your Operations Manager, who will help you succeed in the role and ensure that you’re continuously growing and developing in your career.

Skills and Qualifications

As an IT Operations & Systems Manager, your vertical strength will be hands-on workplace IT administration and device lifecycle management, while your horizontal capabilities should span process improvement, clear technical documentation, and cross-functional operational collaboration.

To excel in this role, you should have:

• Experience: 2–5 years of hands-on experience in IT Operations, Systems Administration, Workplace Technology, or internal Technical Support, ideally as the sole internal owner in a remote/distributed company (50–300 employees).
• Systems Administration: Proven expertise administering Google Workspace, Slack, password managers, and 40+ SaaS platforms.
• Device Management: Hands-on experience with Apple Business Manager and MDM platforms (Jamf, Kandji, Mosyle, or Intune) including zero-touch deployment and Mac fleet security.
• Identity & Security: Deep understanding of permissions, MFA, SSO, identity governance, and secure offboarding workflows.
• Logistics & Vendor Management: Familiarity managing global device vendors and international hardware shipping/retrieval.
• Mindset & AI Comfort: Exceptional attention to detail, high trustworthiness with sensitive data, comfort working asynchronously, and enthusiasm for using AI tools to accelerate scripting, research, and SOP creation.

During the interview process, you’ll have the opportunity to showcase your skills in the following areas:

• Hands-on IT Ownership: Can you provide evidence of personally provisioning systems, managing MDM policies, and handling the entire IT lifecycle without relying on a larger IT team?
• Identity & Permission Management: How do you evaluate access requests and enforce security controls while maintaining smooth operational workflows?
• Process & SOP Building: How have you built zero-touch workflows, onboarding/offboarding checklists, and self-service documentation from scratch in an ad-hoc environment?
• Async & Remote Problem-Solving: How do you prioritize high volumes of daily IT alerts and troubleshoot technical issues independently across time zones?

Role Specifications

This is a remote role, where you will be expected to work a split shift with some overlap with our client’s time zone. You will, however, be expected to be present for in-person training programs during your first 3.5 weeks with us.
