Intake & Dispatch Coordinator - Property Restoration

Type: Full-Time
Salary: $1,250 USD
English Proficiency Required: C1/C2

About the Company

Our client is a U.S.-based property restoration company that helps property owners respond to and recover from incidents such as fires and other property damage. Its Rapid Response Program connects field representatives with incident alerts so they can respond promptly.

About the Role

We are looking for an organized, proactive Dispatch & Operations Coordinator to support our Rapid Response Program remotely.

You will monitor incoming incident alerts, ensure they reach the appropriate field representative, track responses, and keep incident records and paperwork accurate and complete. You will also help field teams obtain property information and follow up on missing details.

This is a hands-on coordination and administrative support position reporting to the Program Director. Success requires clear communication, attention to detail, and consistent follow-through in a time-sensitive environment.

Key Responsibilities

  • Monitor incoming alerts: Track incident notifications from multiple sources and ensure every alert is captured in the company’s response management system.

  • Support dispatch coordination: Monitor automated alert assignments to field representatives based on their assigned territories. Follow up on pending acknowledgments and escalate missed responses or assignment issues to the appropriate contact.

  • Track response activity: Ensure each representative’s acceptance or decline is recorded accurately, including the associated timestamps.

  • Create and maintain incident records: Set up or verify each incident’s record in the company’s job management platform, Dash, and keep relevant information up to date.

  • Research property information: Help locate and verify property addresses and ownership information to support field representatives.

  • Coordinate with field teams: Share relevant updates, help resolve information gaps, and document communications before, during, and after a response.

  • Review documentation: Check that required forms and project records are complete and accurate, following up on missing information.

  • Maintain reliable records: Ensure alert history, response activity, and follow-up actions are documented so management can review response times and program performance.

Requirements & Qualifications

  • Previous experience in dispatch support, service coordination, operations support, customer service, or an administrative role involving time-sensitive requests.

  • Strong written and spoken English, with the ability to communicate clearly with U.S.-based colleagues and field representatives.

  • Excellent attention to detail, particularly when entering addresses, timestamps, contact information, and incident updates.

  • Strong organizational skills and the ability to track multiple active requests without missing follow-ups.

  • Ability to remain calm, prioritize tasks, and communicate promptly when urgent issues arise.

  • Confidence learning and using CRM platforms, dispatch systems, or job management software.

  • Basic online research skills and the ability to verify information across different sources.

  • Ability to work independently, follow established procedures, and recognize when an issue needs to be escalated.

  • Reliable internet connection, a suitable computer, and a quiet workspace for remote work.
